Description

The KentuckyProud Derby Festival WineFest event will occur over a two day period, Tuesday, May 2nd & Wednesday, May 3rd. It takes place on the Belvedere located at Waterfront Park, in Downtown Louisville, Kentucky.

The event hours for Derby Festival WineFest are 5 pm to 9 pm allowing patrons plenty of time to learn about and enjoy wines.  Wineries will also be given the opportunity to sell their wines by the bottle at their booth during the event. Patrons will be treated to great music, atmosphere, and cooking demonstrations while enjoying wine samples in their complimentary event glass. 

The Kentucky Proud Derby Festival Wine Competition is part of the Derby Festival Winefest, however requires additional registeration to participate.  The Wine Competition will be held on March, 1, at The Bistro located at The Masonic Homes of Kentucky, Louisville, Kentucky. The deadline for the competition is February, 20,  2017.  Winning wines will be on display at the WineFest event, and featured in the Tasting Guide distributed to all attendees.

Winery Requirements for Participation:

Must adhere to all laws for alcoholic beverage control set by ABC.
Wineries are responsible for decorations for your 10’ x 10’ booth. 
Wineries are required to supply enough of each variety of wine to be sampled and to distribute.

  • Wineries are required to sample of minimum of (4) four wines
  • Wineries must supply personnel to distribute sampled wines at your booth. Your wine must be handled by an employee of the winery at all times.
  • WINES MAY BE SOLD BY THE BOTTLE WITHIN THE WINEFEST VENUE. There is no charge to sell wines at the Event during the Wine Tasting event. You will be responsible for handling all monies.
  •  WINES SOLD BY THE BOTTLE MAY NOT BE OPENED WITHIN THE WINEFEST AREA OR BELVEDERE ON THE WATERFRONT. All package sales must be taken with the patron for use at an alternate location. NOTE: All wine sales will take place at the same location as the tasting.
  • Each winery will be responsible for supplying their own coolers for chilling wines as needed. Ice is available for purchase from the caterer on premises.  
  • Wineries are responsible for daily cleanup for their area. A nightly clean-up crew will common event areas each night.
  • Derby Festival is proud to announced that the KY Proud WineFest will be a zero waste event. Recycling Teams will be on site to collect recyclable materials each night. Please look for further instructions regarding trash discarding in your confirmation packet, and onsite at the event.

 

Move In/Out Times for Kentucky Proud Derby Festival WineFest

  • Move In/Out times for WineFest

    • Move in is from 10:00 a.m. – 2:00 p.m. on Tuesday, May 2nd. (Wineries will be called to schedule your specific move in time.) Please remember vehicles may be brought on premises for loading and unloading ONLY.  Event coordinators will communicate a load-in and load-out schedule prior to event.  Street parking and garage parking are available within close proximity to the event location. 

    Volunteers will be present to assist with load-in and load-out. Wineries are expected to arrive at their scheduled time. In the case a winery does not arrive at assigned time, move-in assistances and/or access to the venue will NOT be guaranteed.  

    • Set-up Finished: 4 p.m.

    • Move Out: Wednesday, May 3rd at 9 p.m. * immediately following the event.

    Winery Placement: No Special Requests. Wineries will be assigned a booth by random draw. You will receive your assigned location in your confirmation packet two weeks before the event. 

    ATTENTION: INDIANA OR OTHER OUT OF STATE WINERIES

    “Wineries must have a current Kentucky small farm winery license pursuant to KRS 243.155 (eff. Jan 1, 2007). Pursuant to KRS 243.110(44) (eff. Jan 1, 2007), a “small farm winery” “means a winery producing wines, in an amount not to exceed fifty thousand (50,000) gallons in a calendar year.”” Pursuant to KRS 243.030(5) (eff. January 1, 2007), the per annum cost for a small farm winery license is $100.00.

    Applications for such a license need to be filed with the Kentucky ABC at 1003 Twilight Trail, Frankfort, Kentucky 40601. Prospective applicants should be cautioned that it can take from 45-60 days for the application process to run its course and result in the grant of a small farm winery license. Forms can be obtained from this website: www.abc.ky.gov.

    ***This license is not required to submit an entry form for the event to hold your space, but will be required by the date of the event.

    EQUIPMENT USAGE ON THE BELVEDERE

    The following limits and restrictions have been placed on all vendors, including wineries of the Kentucky Derby Festival for use of the Belvedere in 2017.

    Maximum vehicle axle weight is 8,000 pounds.

    1.         Minimum axle spacing is 12 feet. Examples of the axle spacing are below:

    a.         This is the minimum spacing between the front and rear axle of a vehicle.

    b.         This is the minimum spacing between the rear axle of a vehicle and a trailer axle.

    c.         This is the minimum spacing between the rear axle of a vehicle and the front axle of an adjacent vehicle.

     

    2.         This is roughly equivalent to a loaded Ford F-350 class pick truck. Ford’s truck specification for a 2016 F-350 (single axle – SRW) lists a maximum rear gross axle rating of 7,180 pounds. Therefore, only single axle pickup trucks will be will be allowed on the Belvedere.

    3.         Utility trailers may be pulled by a single axle pickup truck assembly that meets the maximum vehicle/trailer axle weight of 8,000 pounds and minimum axle spacing of 12 feet.
