COVID-19 Updates

Email sent to all registered Participants on 3/19/2020:

Good Afternoon,

Over the past 48 hours, we have continued to evaluate all guidance on the rapidly changing COVID-19 situation, as well as work with local authorities to gain insight on mass gathering/sporting event regulations for the month of April.  Based on our conversations with Harris County Emergency Management, we have been told that the County is following the Center for Disease Control’s guidance from 3/15/20 stating that all events of more than 50 people be cancelled or postponed for at least the next eight weeks.  It is with great regret that we must inform you that we are not permitted to hold the 2020 Vintage Park Half Marathon as scheduled for April 19, 2020. At this time, we are cancelling all non-virtual events. This is not the outcome that we wanted, but we have always said that the safety of our Participants, Spectators, Volunteers, Staff, Sponsors and Community is our top priority.  Unfortunately, postponement or rescheduling is not a viable option based on multiple considerations. We know that this news is disappointing for you, and I can assure you it is disappointing for our team as well.

Per our policy, refunds of registration fees are not able to be offered.  As is the nature of putting on a running event, many of the costs associated with producing the event are paid out well in advance of race day.  We are a small family-owned business, and our goal is to offer you the best options we can that allow you to choose how you would prefer to proceed. It is not lost on us that this may be one of multiple events or races that you were planning to participate in that have been affected in this unprecedented time.

Please see below for details - you will choose one of the two options below on THIS FORM:

Option #1 - Transfer your 2020 Registration in to the 2020 Virtual Event

You have the option to transfer from the “live” Half Marathon, Half Marathon Relay, 5K or Kids 1K event into the 2020 Virtual Race at no additional cost to you.  For those that have not run one of our events virtually before, see details on what our Virtual Race entails on our website HERE.  We will be making efforts to enhance the virtual race experience for all involved, including gift card giveaways and raffles, as well as extending the standard results submission timeline.

After completing your race virtually, you will be mailed your 2020 event shirt, finisher medal and finisher shirt (for Half Marathon runners), and you will be counted as a finisher of the 2020 event.  For anyone who has already participated in the first 2 events of the 2019/2020 Series (2019 Cypress Half and 2020 Katy Half), you must choose this option to be eligible for being a 2019/2020 Series Finisher.

Option #2 - Defer your 2020 Registration in to any 2020/2021 Bayou City Half Series Event

We are offering the option to defer your registration into any of the 2020/2021 Bayou City Half Series events.  This deferral is being offered with no fees or additional cost - you will have a prepaid entry in to one of the events below:

-2020 Cypress Half Marathon (Date TBD)
-2021 Katy Half Marathon (Date TBD)
-2021 Vintage Park Half Marathon (Date TBD)

As the dates for these events are not yet finalized, your event selection on the form will just be a preliminary choice.  You will have the option to finalize which event to utilize your deferral on once we release dates later this year. Your deferral will be applicable for the race distance that you are currently registered for - i.e. if you are registered for the Half Marathon, your deferral will be eligible for the Half Marathon at one of the above events, if you are registered for the 5K, your deferral will be eligible for the 5K, etc.

We ask that you please make a selection on the linked form by Wednesday, April 1, 2020.  If you need additional time or have questions about your options, please let us know by reaching out via support@bchalfseries.com.  We will be doing our best to respond to all inquiries and questions in a timely manner.

This is a challenging time, and we are so disappointed that we are not able to continue on with the live race events as planned and watch you all cross the finish line.  We appreciate your understanding, and look forward to seeing you at a finish line in the future.

Email sent on 3/17/2020:

Good Afternoon,

As we continue to evaluate the guidance from Federal, State and Local authorities regarding the COVID-19 response, we wanted to provide an update to our Participants, Volunteers and Community.

Our plan has been for the 2020 Vintage Park Half Marathon to continue as scheduled, as Harris County guidance for cancellation or postponement has related only to events taking place within the month of March.  To ensure the safest possible event, we have been working on plans to ensure the safety of all Participants, Spectators, Volunteers and Sponsors, including:

Additional hand washing and sanitizer station availability on race morning
Enhanced volunteer food and beverage handling guidelines
Extra safety measures at hydration stops and on the course for Participant safety

Late on Sunday evening (3/15/20) , the Center for Disease Control released nationwide guidance to event organizers and local authorities that recommended all mass gatherings of 50 people or more within the next eight weeks be cancelled or postponed.  Monday evening (3/16/20), Harris County reaffirmed their guidance that all gatherings taking place before 3/31/20 should be cancelled or postponed. The information and guidance being released has been rapid and fast moving, and we are doing our best to use this information to make the best decisions we can for our Participants and our Community.

What does all this mean for the Vintage Park Half Marathon?  At this point, we are still working with local authorities to determine the impact.  Over the next few days we will continue to work with Harris County and other partners to determine the best path forward.  As soon as we have a plan, we will communicate the impact and options quickly and clearly to all Participants.

With the current uncertainty, and while we work to determine the best path forward, we have made the decision to pause registration for all non-virtual events at the 2020 Vintage Park Half Marathon.  This includes the Half Marathon, Half Marathon Relay, 5K and Kids 1K. The Virtual Half Marathon, Virtual 5K and Virtual Kids 1K will remain open for registration.

We know this is a trying and uncertain time for us as a Community and a Nation.  Thank you for your continued support and understanding as we navigate these unprecedented times together.
