Details

Provide on-course direction for participants and use your voice to cheer them on and let them know you are glad that it is them and not you toughing it out over the 5-mile trail race. Your official volunteer shirt means you are in charge and are one of many people who have selflessly volunteered to make the Mean & Green happen. Don't be surprised if a racer huffing and puffing past you takes time to say thanks, because every racer understands and appreciates the importance of having a safe and accurate race course - made possible by having awesome course monitors.

Positions are marked on the course map.

A & B - the course overlaps, so these monitors need to stay in place until the sweeper passes a second time. The first pass is approximately 0.5 miles & the second pass is approximately 2.3 miles. These positions have double arrows to show the two passes.

C - Approx 0.8 miles. This is the spot where the spectator/coaches path intersects the path, so there is shorter grass to the runners left. This monitor will follow the sweeper and relocate to the before the finish chute.

D - Approx 1.1 mile. The intersection between the 3k & 5k/8k/10k courses. This monitor moves to the final 180° out & back when the sweeper goes past.

E - Approx 1.8 miles. A 180° turn in the course.

F - Approx 2 miles. The intersection of the 5k & 8k course.

G - Approx 2.2 miles. The course loops back on itself, runners pass here twice.

H - Approx 2.7 miles. The intersection of the 8k & 10K courses.

I - Approx 2.7 miles. The intersection of the 10k & 8k courses.

J - Approx 3.6 miles. The 5k & 8k course run close to each other on a turn. Help runners stay on the 8k course.

K - Approx 3.9 miles. The intersection of the 8k & 5k course.

L - Approx 4.2 miles. The intersection of the 5k/8k/10k course with the 3k course. After the sweeper passes, relocated to the final 180° out & back.

M - Approx 4.2 miles. The turn for the final loop for all courses. Approx 4.2 miles. The intersection of the 5k/8k/10k course with the 3k course. After the sweeper passes, relocated to the final 180° out & back.

N - at the entrance to the finish chute. The grass is mowed along the chute so spectators can comfortably stand and watch, but it is confusing for tired runners.

No one ever wants to be last. But someone always is – the sweeper. Volunteers are an integral part of any race, and one of the most important roles is that of the sweeper. These are the people who follow the last racer. Their job is multi-faceted and super important. And super rewarding. Not only do you help ensure the safety of the racers, but you get to share in the experience and play a part in helping people do something they weren’t sure they could do!

Sweepers can help ensure injured racers receive proper care in a timely manner. The sweepers should carry some sort of communication device (cell phone with the race director's and volunteer coordinator's numbers). Please call 911 for life-threatening emergencies before calling race personnel. It is important that you are familiar with the course and have a good idea where you are on the course at all times. In case of an emergency, the sweeper should stay with the injured runner and wait for help, or try to reach the nearest aid station together.

Sweepers arriving at an aid station is the signal to those volunteers that they can shut down and leave. This is also true for the finish line; the sweepers’ arrival indicates that all runners are in BUT the sweeper should not release course monitors on side streets because the entire street needs to wait to reopen until all runners are clear.

Another aspect to sweeping is to motivate and reassure the last runner(s). Every runner is different so when coming up on the last racer, talk with them. Ask them whether or not they need company and how they are feeling. Some runners do not want the sweepers running right behind them because it makes them feel rushed and self-conscious. In that case, give them space. Other times, they are having a hard day and need the company. In those situations, feel free to chat with them. If the final runners are getting close to a time cut-off, you can make them aware and let them know what kind of pace/effort is required to avoid a DNF. Again, be familiar with the course. Runners often ask you how far the next aid station is or details on the course and they appreciate it when you have the answers.

Familiarity with the course and being able to follow a course map are essential. You'll set out the final course items on race morning, and then lead out the race as a final check for the course setup and to alert the volunteers that runners are coming.

The vehicle should have two people in it so the driver can focus on the road and the observer can focus on the runners and route.

After leading the winner through the course, you'll be a course monitor in the finish area congratulating them on their finish, pointing them to water and post-race snacks and call the RD or volunteer coordinator for first aid assistance.

Volunteers #makeithappen and while they don't earn a finisher medal for their effort they are the heart & soul of every event creating an exciting, safe, and rewarding experience for our participants.

With so many volunteers and so many roles/responsibilities, each race needs a coordinator to help get all the of who, what, where, when, why questions about a race answered and get everyone to the right spot on time.

If you are a take-charge individual and love being part of a project from start to finish, this is the role for you! Duties include working closely with the race planning committee and race director, communicating with the volunteers, ensuring information is dispersed in a timely manner, and ensuring all volunteers check-in, show up at their assigned location on time, and check out for each shift.

Volunteer coordinators are required to complete the Safe Sport Act Training, and attend race planning committee meetings as necessary for the race they are coordinating.
