Direct vehicle parking at Oval Beach to fill the lots in an organized manner. Assistance will be provided by Interact Club students from Saugatuck High.
Helping to organize racers into the appropriate groups and starting points for the beginning of the race.

Assist participants on Saturday, September 7, 2024 in their pick-up of race packets. Includes check-in of persons on the RunSignUp Check-in App and retrieving packets for the participant. Also, may require processing of last-minute participant registration or switches among events.

Task Coordinator will direct volunteers and vendors who will set-up Coghlin Park (e.g., fencing, tents and tables, stage, port-a-jons, signage, and the Mount Baldhead Challenge arch at the finish lines on Friday before the race and removal Saturday after the race is completed.

Set-up to be configured according to site map which will be provided to sub-task teams (volunteers) and to vendors at least one-week prior to set-up.

Install & Dismantle MBC Arch High Priority

Task coordinator to direct volunteer team who will erect the arch on Friday afternoon according to the site plan and take it down on Saturday after the race.

Requires that a pick-up truck or trailer be sourced to travel to/from the Saugatuck Storage locker to bring/return the components of the arch.

Requires tall step ladders, electric drills/fasteners and roping to secure the arch.

Sub-task is to pick-up banners/signage that attaches to the arch and fasten that once the arch is installed.

Involves preparing ribbons and medals to be handed to each finishing runner so as to be ready to award ribbons when the first finisher completes the race (approximately 45 minutes for the 10K distance).

On race day, set-up and organize the SWAG and MBC merchandise, including posting pricing signage. Configure and charge POS terminals / devices to records sales of the merchandise. Process sales transactions and provide merchnadise to purchasers. Maintain control of cash box and count proceeds at the end of the event. Repackage unsold merchandise and assist with transport from the Park.

2) Identify quantities and purchase needed supplies (e.g., glasses, napkins, tablecloths, ticket buckets, ice coolers or buckets as needed).
3) Coordinate with wine supplier the return for credit of unopened bottles and arrange for settlement/payment of cost with race accounting.
4) Train volunteers on intended service (e.g., size of pours, descriptions of wines).

Race Timing Coordination

Details

In coordination with Race Timer, Task Coordinator for the start, Task Coordinator for the finish, and Task Coordinator for Registration and Packet-Pickup, establish race timing contract by defining race parameters, locations of start and finish lines, age group settings, bib numbering, and chips.

Verify equipment needed for timing mats, announcing finishers, inflatable archways at desired course locations.

On race day, coordinate with race timer to identify mis matched runners, last minute switches to events, and age group and class winners.

Post scores to sign board as identified in site plan and communicate to the master of Ceremony the results to be announced and awards to be given.
