Coronavirus - Race Options and Best Practices

We Are All In This Together

Now that you've picked your options for moving forward, it's time to go through your event settings and make sure all cutoff dates and other options reflect the new status of the race. Specific settings for review will vary by race, but an outline of what you should check includes:

  • Change the event dates: Race >> Race Wizard, Step 1
  • Update or turn on deferral settings: Participants >> Participant Management >> Deferrals
  • Email All registrants about the date change and the deferral/virtual options with steps. Email Marketing >> Send Emails
  • Update the pricing/registration periods if you need to: Race >> Registration >> Dates, Pricing, &Options
  • Update any coupons that need editing: Financial >> Pricing >> Coupons
  • Confirm add-on end date: Race >> Giveaway/Add-ons>>Registration Add-ons
  • Once the race dates are changed, you will also be able to extend any of the participant management end dates under Participants>>Participant Management.
  • Referral refund dates: Promotion >> Referral Tracking >> Setup
  • Team Join/End/ Pricing (if applicable) : Participants >> Groups/Teams
  • Add funds to the Refund Reserve to cover any refunds and/or chargebacks. Your refund reserve should be at least 20% of your race proceeds; you may want it to be higher if you plan to outright cancel. Information on adding money to your refund reserve can be found here
