Once you have created your action plan and turned on any corresponding participant management features in your race, it's time to notify your customers. RunSignup has multiple tools to help make this process easier. The most important thing is to have clear communications with your customers while also showing them compassion and empathy - everyone is in this together.

 

CANCEL OR POSTPONE RACE POPUP:

You can modify the different options that you want to show your race participants. Participants will select an option and race directors will be able to see reports on which options were chosen.

  • Go to Race>>Cancel or Postpone Race
  • Choose the Option that applies to your race "Cancelled, Postponed or Changed to Virtual" and enter the Postponement Date
  • Fill in the Let Your Participants Know About Your Race section - this is where you can customize a heading and description to let your customers know what is going on. Be clear, concise and empathetic!
  • GIVE YOUR PARTICIPANTS OPTIONS - this is where you can customize and choose which options you are offering your registrants (Stay in the race, Switch To Virtual, Donate Money To The Race/Keep My Registration Fee, Issue Me a Refund)
  • Important: When registrants choose these options, these actions won't be completed for them. However, you will be able to download a report detailing the options that your registrants have chosen so you will know how to move forward

ADD AN FAQ TAB TO YOUR RACE:

  • Go To Race>>Race Page>>Custom Sections
  • Add a custom section called FAQ's
  • Enter the content and FAQ's that apply to your race and save
  • Once you have created the custom section go to Race>>Race Page>>Custom Content Display
  • Choose to Display As New Menu Item next to the FAQ custom section and save the page
  • This will add the FAQ tab to your race page

EMAIL YOUR PARTICIPANTS:

  • Go to Email Marketing>>Send Emails
  • INFORM: Inform your customers about the status of your race and provide any updates that you have
  • OPTIONS: Outline the options that you are giving your customers and provide them with the steps they can follow to select the option or manage their registration
  • SHOW COMPASSION: We understand this is a difficult time for everyone. In your messaging, make it clear to your participants that you value their business and appreciate their understanding. Also, let them know that you are doing everything you can to offer them options so they can continue being a part of your running family and attend your future events.
