2026 PANTHER PROWL HAUNTED COLOR RUN
SPONSORSHIP COMMITMENT

Sponsorships are considered confirmed once payment has been received or another payment arrangement has been approved by the Permian High School Tennis Booster Club.

Sponsorship benefits are based on the level purchased and are subject to applicable artwork, printing, production, and event deadlines. We will make every reasonable effort to provide all advertised benefits, but we cannot put your logo on something that was already printed before you sent it to us. Please submit requested logos, links, promotional materials, and other information by the deadlines provided. The deadline for printed material benefits is October 15 at 12:00 pm.

Sponsorship payments are non-refundable once committed, except at the sole discretion of the Permian High School Tennis Booster Club.

ABOUT PERMIAN TENNIS BOOSTER CLUB

The Permian High School Tennis Booster Club is a registered 501(c)(3) nonprofit organization. Panther Prowl is a fundraising event benefiting the Permian High School Tennis program.

Sponsorship payments are made to the Permian High School Tennis Booster Club, not to an individual, coach, or private business.

Sponsors needing documentation for their records may request the Booster Club’s applicable nonprofit documentation.

LOGOS, ARTWORK & BRANDING

Sponsors are responsible for providing accurate, usable, high-resolution logos and business information.

By submitting a logo, business name, website, promotional material, or other branding, the sponsor confirms that it has permission to use those materials and grants the Permian High School Tennis Booster Club permission to reproduce them for Panther Prowl-related shirts, banners, signage, websites, social media, printed materials, event displays, and promotional purposes.

Logo size and placement vary by sponsorship level and by the dimensions and limitations of each item. “Large logo” does not mean we are putting your logo across the entire back of 300 shirts. Nice try.

LOGO DEADLINE — OCTOBER 15, 2026

To guarantee placement on the official Panther Prowl race shirt and Founding Partner sponsor banner, all sponsorships must be confirmed and usable logo artwork must be received by October 15, 2026 at 12:00 PM

Sponsorships received after October 15 are still welcome; however, shirt and banner logo placement cannot be guaranteed once artwork has been submitted for production. All other sponsorship benefits will be provided whenever reasonably possible.

Translation: We would LOVE to take your money after October 15. We just cannot time-travel back to the printer and add your logo to shirts and banners that are already in production.

Please send your logo on time. Future us will both be happier.

SCARE ZONES, COLOR ZONES & SPONSOR ACTIVATIONS

Sponsors participating in a Scare Zone, Color Zone, booth, Mini Monster Dash activation, or other on-site activity are responsible for their own decorations, props, equipment, staffing, setup, operation, and cleanup unless otherwise specifically arranged with the Booster Club.

All concepts, displays, props, structures, giveaways, activities, and sponsor activations are subject to approval by the Permian High School Tennis Booster Club and any applicable Permian High School or ECISD requirements.

We absolutely want you to be creative.

We would also like to be invited back next year. Please act accordingly.

THE VERY IMPORTANT NO-CONTACT RULE

Panther Prowl is a STRICTLY NO-CONTACT EVENT.

Scare actors and sponsor representatives may jump, scream, lurk, make noise, dress like zombies, emerge dramatically from behind approved objects, and generally cause participants to question why they voluntarily signed up for this.

They may not intentionally touch, grab, restrain, shove, trip, strike, chase, block, corner, spray, throw objects at, or otherwise make physical contact with participants.

Every sponsor is responsible for making sure every employee, volunteer, friend, cousin, zombie, creepy clown, undead roughneck, and other person working in its area understands and follows this rule.

Yes, even Steve.

We don't know Steve. But there's always a Steve.

KEEP IT FAMILY-FRIENDLY

Panther Prowl is a community event involving children and families.

Decorations, costumes, performances, signage, music, promotional materials, and activities must remain appropriate for a school-sponsored community environment.

No alcohol, tobacco, vaping products, illegal drugs, sexually explicit material, obscene displays, actual weapons, realistic functioning weapons, open flames, fireworks, pyrotechnics, hazardous materials, or other items prohibited by Permian High School, ECISD, law enforcement, fire officials, or Event organizers.

Scary? Yes.

Something that results in us getting called into the principal's office Monday morning? No.

TENTS, PROPS, POWER & EQUIPMENT

Easy-Ups, tents, lighting, generators, electrical equipment, decorations, props, signs, and other equipment must comply with Event, campus, fire, and safety requirements.

Sponsors are responsible for safely securing their own equipment and preparing for West Texas weather and wind.

Generators and electrical equipment may only be used where approved. Sponsors are responsible for providing any generator, extension cords, lighting, or other power equipment needed for their activation. Panther Prowl does not provide electrical power or generators for individual sponsor zones unless specifically arranged in advance.

If the wind is trying to send your Easy-Up to Midland, please take it down before it gets there.

SETUP, VEHICLES & CLEANUP

Sponsors must follow the setup, unloading, parking, vehicle-movement, and cleanup instructions provided before the Event.

Once an Event area has been closed to vehicle traffic, it is closed to vehicle traffic. Please plan accordingly.

Each sponsor is responsible for completely removing its decorations, equipment, trash, promotional materials, and other items at the conclusion of the Event.

Our goal is to leave Permian High School looking like several hundred people did not just spend the evening running through powder while being chased emotionally—but NOT physically—by zombies.

COLOR POWDER

Color powder may only be distributed or thrown in designated Color Zones or other areas specifically approved by Event organizers.

Sponsors must follow all powder-handling instructions provided by Panther Prowl. Powder should be directed toward participants' clothing/torso area and not intentionally toward faces or eyes.

Sponsors may not bring additional powders, chemicals, compressed-air devices, pyrotechnics, flames, or other dispersal equipment without prior approval.

We provide the chaos. Please do not freelance the chaos.

PROMOTIONAL ITEMS & GIVEAWAYS

Sponsors may distribute approved promotional materials, coupons, merchandise, candy, or giveaways from their designated area or through participant packets when included in their sponsorship benefits.

Items must be safe, lawful, age-appropriate, and suitable for a school/community event.

Any food or beverage distribution must comply with applicable Event, school district, and health requirements and may require advance approval.

STAFFING & CONDUCT

Sponsors are responsible for the conduct of their employees, representatives, volunteers, contractors, and guests participating on behalf of their organization.

Event organizers may require any person or activity to stop or leave the Event if conduct is unsafe, disruptive, inappropriate, inconsistent with Event rules, or in violation of school/district requirements.

Being a sponsor buys you excellent recognition. It does not purchase diplomatic immunity.

WEATHER & EVENT CHANGES

Panther Prowl is scheduled to take place rain or shine.

For safety, weather, campus operations, emergencies, or circumstances beyond the reasonable control of Event organizers, Panther Prowl may delay, modify, relocate, shorten, suspend, postpone, or cancel individual activities or the Event.

This may include relocating or removing sponsor booths, Scare Zones, Color Zones, props, structures, or activities when conditions make them unsafe.

Whenever reasonably possible, we will modify the plan rather than cancel the fun.

Sponsorships are non-refundable due to weather-related or other circumstances beyond the reasonable control of Event organizers because sponsorship funds may already have been committed to Event expenses and support of the Permian High School Tennis program.

If the Event is rescheduled, sponsorship recognition will transfer to the rescheduled Event whenever reasonably possible.

FOUNDING PARTNER RECOGNITION

Qualifying 2026 sponsors will receive Founding Partner recognition as advertised for their sponsorship level.

Founding Partner recognition identifies organizations that supported the inaugural Panther Prowl. Banner placement, logo size, and other recognition will correspond to sponsorship level and available design space.

Founding Partner recognition does not guarantee exclusivity within a particular industry or business category unless exclusivity has been specifically agreed to in writing.

Because apparently someday someone will ask whether being the first dentist means no other dentist in Odessa may ever sponsor Panther Prowl again.

SPONSORSHIP DOES NOT EQUAL ENDORSEMENT

Participation as a Panther Prowl sponsor does not constitute an endorsement of the sponsor's products, services, opinions, or organization by Permian High School, ECISD, or any other participating organization unless expressly stated otherwise.

Likewise, sponsors may not represent themselves as an official agent, partner, or representative of Permian High School or ECISD solely because of their Panther Prowl sponsorship.

EVENT AUTHORITY

The Permian High School Tennis Booster Club reserves the right to make reasonable changes to sponsor placement, course locations, Event layout, schedules, activities, or logistics when necessary for safety, operations, campus requirements, or the overall success of the Event.

We'll communicate significant changes whenever reasonably possible.

Translation: if the principal tells us your haunted garage has to move 30 feet to the left, we're moving the haunted garage 30 feet to the left.

AND FINALLY...

By purchasing a Panther Prowl sponsorship, the sponsor acknowledges that it has reviewed and agrees to these Sponsor Terms & Conditions and accepts responsibility for communicating applicable rules to everyone participating on its behalf.
