Race Day Information and FAQ
Age Group Starts
The parent/guardian is responsible for getting the athlete to the event with sufficient time to be ready for his/her pre-race briefing time. The race will be run by age group, so missing the briefing time will mean missing the event. The organizers will try to accommodate any unusual circumstances but there is no guarantee that can be done. Briefing & start times will be finalized by noon on Thursday prior to the event and will available on the AVSP website (www.ashburnvillage.org). Copies of briefing & start times will also be available at the AVSP Front Desk.
Swim Aids
Swim aids such as kickboards or approved flotation devices will be allowed. Athletes using swim aids will not be eligible for podium awards (i.e., 1st, 2nd, 3rd place in age group). All athletes will get a participation ribbon. Athletes must provide their own swim aids. No performance enhancing devices such as fins will be allowed. AVSP will have a limited supply of kickboards available on the pool deck for participant use.
Adult Swim Assistance
Adult swim assistance will be permitted with permission only. Assisted athletes (other than physically challenged athletes) will not be eligible for podium awards (i.e., 1st, 2nd, 3rd place in age group).
Training Wheels
Training wheels will be allowed.
Non-Finishers
Triathletes not finishing the event will receive a participant's ribbon. Non-finishers will have no posted times.
Disqualification
Triathletes short-cutting the course or engaging in any other unsportsmanlike conduct will be disqualified from the race. Athletes who walk on the bottom of the pool during the swim portion or who do not clip their chin strap during the bike portion of the event will also be disqualified. Disqualified athletes will not receive a participation ribbon nor have their times posted. The Ashburn Village Kids Triathlon is intended to be a fun event. Athletes and their parents are expected to be supportive, encouraging, and helpful to their fellow competitors.
Age Limits
The event is open to children ages 6-15. Age is based on the participant’s age as of the triathlon date.
Physically Challenged Athletes
The parent/guardian of a physically challenged athlete should contact the event organizers to make arrangement for any special needs.
Transition and Finish Areas
No parents or guardians are permitted in the Transition Area during the race. Parents and guardians will be allowed into the transition area before start of the race to help their athlete set up bike transition area equipment. Once the race is in progress, race staff and volunteers will be present to assist the athletes and to restrict access. The only exception will be to remove an athlete’s bike & other equipment from the Run Transition Area as quickly as possible. Permission to enter to assist an athlete at any other time must be granted by race staff. This restriction is to ensure a safe and enjoyable experience for all of the athletes.
Music/Ear Phones
For the safety of all race participants, earphone/earbuds or any music device are not allowed to be worn during the race.
Weather
We always strive to produce a full and safe multi-sport event, but sometimes the weather conditions can affect those plans. We encourage all participants to arrive as scheduled on race day morning as weather condition related decisions will be made shortly before the race start time. In many instances, weather conditions in one part of the state may not be affecting the event site location, or weather conditions may improve in the hours preceding the event, both of which affect the race start. In the event of light to moderate rain, and the absence of any lightning, our goal is to proceed with the full triathlon event as long as trail conditions are safe and will allow the bike and run portions to take place.
If there is lightning in the area, the event is placed into a weather hold (30 minutes) and can be held for up to 90 minutes. If the lightning has departed the area, the race can proceed as planned. Participants out on course will be escorted back to the event start/finish by event staff members. If after 90 minutes of a weather hold all three portions of the event are determined to be unsafe, the event can be cancelled. Due to the nature of multi-sport events taking place generally in the outdoors, weather conditions can play a large role in the production of the event. Because a significant amount of the funds collected during registration have been expended by the day of the event for the production of the event and because each event is uniquely scheduled for its date and location, registration refunds are not possible and rescheduling the event is not possible, and thus the no refund policy. Our goal is to always produce a full event as scheduled and only modify these plans due to safety concerns some of which can be caused by weather conditions. We will try out hardest to hold/finish the event. Thank you for your understanding of these policies and we appreciate your participation.
