Details

Packet pickup operations for the TAWP Wedding Bell 5K will include the complete setup, organization, and distribution of race materials to registered participants. Packet pickup will be held at Proof Brewing Company, 1320 S. Monroe Street, Tallahassee, FL, on Thursday, August 27, 2026, and Friday, August 28, 2026.

Thursday, August 27, 2026
Packet pickup hours: To Be Announced (TBA)
Volunteers will set up the packet pickup area and begin assembling participant race packets.

Friday, August 28, 2026
Event-day registration and packet pickup begin at 5:00 PM.
Volunteers will continue packet assembly and distribute packets to participants as they arrive.

Volunteer Responsibilities

Volunteers assigned to packet pickup will assist with:

Setting up the packet pickup and registration area.
Assembling participant race packets.

Matching race bibs and participant information to the appropriate packet.
Organizing and inserting course maps and race information into each packet.
Matching and distributing the correct event T-shirt size to each participant.
Assisting participants with packet pickup, event-day registration, and general race questions.

Maintaining an organized and efficient packet pickup process to ensure participants are prepared for the 6:30 PM race start.

Course setup is a critical part of preparing the TAWP Wedding Bell 5K and ensures the race course is safe, clearly marked, and ready for participants before the event begins. Volunteers will assist with setting up all course infrastructure along the race route.
Volunteer Responsibilities
Course setup volunteers will assist with:
• Installing directional and informational signage along the race course.
• Placing course markings to clearly identify the race route.
• Setting up water stations at designated locations.
• Transporting and positioning tables and other event equipment throughout the course.
• Assisting with additional setup tasks as assigned by the Race Director or Course Manager.
Volunteer Requirements
To ensure the safe and efficient completion of course setup, volunteers must:
• Be 16 years of age or older.
• Be able to safely lift 45 pounds overhead.
• Be capable of walking extended distances over the course route.
• Be willing to perform additional event-related duties as assigned.
• Follow all safety instructions and directions provided by event leadership.

Course Marshal High Priority

Details

Course Marshals play a vital role in ensuring the TAWP Wedding Bell 5K is conducted safely and efficiently. A total of eight (8) Course Marshal positions will be assigned at key locations throughout the race course to guide participants, monitor intersections, and assist with pedestrian and vehicle traffic.
Arrival Time
Course Marshals must arrive one (1) hour prior to the race start to receive their assignment, attend a safety briefing, and travel to their designated course location.
Volunteer Responsibilities
Course Marshals will:
• Direct runners along the designated race route.
• Assist with traffic control in coordination with law enforcement and event staff.
• Help ensure participants safely navigate intersections and turns.
• Alert event officials of any safety concerns, medical emergencies, or course obstructions.
• Provide encouragement and basic race information to participants.
• Remain at their assigned location until released by the Course Manager or Race Director.
Volunteer Requirements
Course Marshals should:
• Be at least 16 years of age.
• Be able to stand for extended periods outdoors.
• Communicate clearly and confidently with participants, spectators, and motorists.
• Follow all instructions provided by the Race Director, Course Manager, and law enforcement personnel.
• Wear the designated volunteer identification or safety vest throughout the event.
• Maintain a professional, courteous, and safety-focused demeanor while representing the event.

Finish line managers

Details

Finish Line Managers are responsible for overseeing all operations within the finish line area to ensure participants have a safe, organized, and positive experience as they complete the TAWP Wedding Bell 5K. These volunteers serve as the primary coordinators of finish line activities and work closely with the Race Director, timing staff, medical personnel, and other volunteers.

Arrival Time
Finish Line Managers must arrive 1½ hours before the race start to assist with finish line setup, review operational procedures, and prepare the finish area for participants.

Responsibilities
Finish Line Managers will:
• Oversee the setup and organization of the finish line area.
• Coordinate volunteers assigned to the finish chute and post-race area.
• Ensure the finish chute remains clear and operates safely.
• Assist timing personnel with maintaining an orderly flow of finishers.
• Coordinate the distribution of water, refreshments, medals, and participant giveaways.
• Monitor the finish area for medical or safety concerns and notify event staff as needed.
• Ensure all finish line equipment and supplies remain stocked throughout the event.
• Assist with post-race breakdown and cleanup.
Volunteer Requirements
Finish Line Managers should:
• Be at least 18 years of age.
• Demonstrate strong leadership and communication skills.
• Be able to stand and walk for extended periods.
• Be capable of lifting and moving event equipment as needed.
• Maintain a calm, professional demeanor in a fast-paced environment.
• Follow all instructions from the Race Director and Operations Team.
