Details

Will need 20-25 volunteers. Will help with getting all runners directed onto Jackstown Road and into the Bourbon Drive-In first. Really important to get them pulled and parked at front of parking lot closest to screen then working way back to get as many cars in lot as possible! Will have the overflow parking across street again at Jimmy Mason's farm. After race will need help directing all cars out of lots and onto main road again with as little backup as possible!!

Packet Pickup Registered Runners

Details

Will have 3 days of packet pickup for runners who have already registered. Meals will be provided to volunteers during their shift! We will need help from a couple volunteers prior to these days to get all the packets put together in bags labeling them with their last name first then first, will put in the runners bibs, t-shirt, safety pins, etc. On day of race there will be packet pickup for runners who have already registered and then another station for runners to register day of. These volunteers will get new runners to fill out registration forms, take their payment, assign the right bibs for race they registered for (1/2 marathon, 10 miler, 4 miler) and direct them to get their t-shirt which will be setup right beside the registration table with more volunteers handing them out!

Water Preparation

Details

A few volunteers will help get water stations supplies ready and organized along with all the large container holders (baby pools) filled with water bottles so day of race can just pour ice over them day before race Friday, June 12th

Hydration/Aid Stations

Details

There is a total of 8 hydration stations located along the course. We will need 4-5 volunteers at each station. You will be making sure to keep small cups filled with just 4oz of water on the tables ready to hand right way to passing runners wanting water at your station! We want to make sure we have great signage so runners know coming up to a hydration station and that volunteers at that station know at about what mile cosset too in case runners ask! Huge for volunteers to keep their hydration station trash free, cups picked up runners toss down making sure we leave area better than was before our event!!

Course Set-Up

Details

This will happen day before on Friday June 10th. Will include preparing and putting out all hydration stations, mile marker signs, assistance with stationing port a potties throughout course, and etc. Also will include some finishing setup on Saturday before race at 7:30

Food & Beverage Set-up

Details

Will include some help needed on Friday June 10th with getting all water bottles over a 1,000 loaded into truck for delivery to Drive- In that evening or on Saturday. Will prep all the food for runners on Saturday by setting up food tables, placing food into foil pans, and making sure easily assessable and presented well. Will also help with preparation of coolers that will be stationed at hydration tables delivered early morning on gators and the 1,000 plus cups that will be put at each station as well

Gear Check

Details

Volunteers will have a tent at the start/finish area at Bourbon Drive-In with 2-3 workers at this station. There will also be one other gear check station located on the course where another 2-3 volunteers will be needed. Volunteers will take runners personal items they need to drop before run or need to drop while running on course. You will place items in a bag and label it with their bib number and name if possible. Then after conclusion of race after 10:30 volunteers will bring pack gear checked bags to station at Finish line. Runners will pick up their gear after their conclusion of run.

Race Assistants

Details

Will need a few volunteers stationed throughout course where a little confusing for some runners on what direction need to follow to continue on with 1/2 marathon. An area very important is on Tarr Rd. when runners turn left to Adena and 10 Milers turn right to go back to Drive-In

Location

Tar Road, at Glen Rd. To help direct 4 Miler runners to turn there and go through Whispering Oaks Farm, and stationed at a few other places throughout course to help aide runners to take right turns for course based on what running.

Medal Awards & Presentation

Details

Volunteers will need to help set-up award tables in front of finish line with our special awards over 200 and our 12 big trophies for our top runners of each race. Will need a few volunteers stationed at Finish Line at 8am to start handing out participation medals to 4 Milers coming across finish line and then continue as the 10 Miler and 1/2 Marathon runners begin making their way across finish line. We will need at least 3 volunteers helping to pass out and be stationed at the special awards tables to hand out awards as DJ announces them you will also have printouts with results of races and the winners of these special awards! Same thing for the big trophies help awarding them to our top finishers.

Clean Up Crew

Details

It is very important to us that after our successful race we leave all areas we used looking better then how was before arrived. We will need several volunteers and help with this task since after conclusion of race we will need to break everything down and clean up and pack all material brought. Including all hydration tables stationed along course and at our start/finish location of Bourbon Drive-In. We will be able to begin doing some of this while the race is taking place with cleaning and loading stuff up we no longer will need.
