Setup and staff water station

Details

Note this is about a mile walk from the start line or you can drive down to the East Lafayette entrance and park nearby - Setup includes transporting and setting up table, banner, trash cans, cups, trash bags, cone with water sign and cones for mile markers 1 and 2 (nearby) and unboxing water jugs. Pour cups of water (5 oz per runner) in advance and hand out to runners/walkers as they pass in either direction. Throughout, keep talking to runners reminding them to stay right, turn the corner, go straight, etc.-also cheer them on. After the race, bag up all used cups, tie up trash bags and leave near the closest trash bin on the Cut. Fold and save any salvageable cardboard trash bins and roll and save Absopure banners. Leave them and any remaining unused cups and jugs of water with the table for pickup.

Note this is about a 1-1/2 mile walk from the start line or you can drive down to Atwater and park nearby - Setup includes transporting and setting up ~30 cones, directional signs and marking areas with sidewalk chalk.

Bring your own bicycle and ride the 3.1 mile course down and back looking for hazards prior to the race start. Begin at least 90 minutes ahead of race start time to allow time to place cones or a marshal if any hazards found.

Details

Responsible for fully understanding the check in process and use of the app as well as the expected duties of the check in and t-shirt volunteers in order to support the team performing check-in. Remind participants in line to have their QR codes ready on their phones - Call out that anyone in line who is registering that morning should click the posted QR code. Ask if anyone is paying cash (requires use of coupon code, which you should be familiar with, and cash box). You will learn in advance by watching videos, downloading the app, logging in and asking any questions.

Details

Check in participants using app. Assign bib, hand person their race shirt in indicated size (if receiving one) (pulling the shirt is done by another volunteer but you need to confirm the size once handed to you) and any sponsor materials, as applicable. Mark back of the bib to indicate t-shirt was received and offer safety pins. Note that the t-shirt space in a person’s registration record will show up blank if a person registered after the t-shirt deadline, do not give them a shirt.

Details

Keep t-shirts organized by size and accurately pull the size shirt that is called out by the check-in person and hand it to them to provide to the participant. Once the race starts, organize remaining shirts by size and take to the CHS tent to be sold.

Details

Monitor and stop traffic at one of three streets that cross the Dequindre Cut path at the South end, giving priority to runners/walkers. Collect safety vest and stop sign at the start line before driving down and parking near Atwater and the Dequindre Cut. At the end of the race, return safety vest and stop sign to the start line.

Runners: Estimate if there’s time for a car to pass before the next runner reaches the intersection. If not, stop the vehicle until that is the case-do not make runners stop for a car to go across.

Walkers: Stop vehicles as needed for walkers to cross but if they have to wait a few seconds for a car to clear the intersection, it’s not a problem.
Remind runners to stay to their right AND call out to public that runners are coming.

Collect supplies at start line near WIlkins and Orleans but stations are at the three streets closest to the water: Woodbridge, Franklin and Atwater (plan to drive down and park near Atwater and Orleans)

Details

Stand at one of five designated locations along the route, directing participants as needed and monitoring the course for falls, injuries or health emergencies. Collect safety vest at the start line before heading to your designated spot. At the end of the race, return safety vest to the start line. Be prepared to call the EMT team, if needed. Also remind runners to stay to their right AND call out to public that runners are coming. Throughout, keep talking to runners reminding them to stay right, turn the corner, go straight, etc.-also cheer them on.

Lay out snacks and water bottles on the tables and replenish as they are taken. Try not to open any more cases of water than necessary after initial rush because any remaining become difficult to transport afterward, if open.

Details

Prior to the start, take the plastic sleeves off all the medals. Stand 30 feet or so past the finish line and slide a group (10) or two of medals up your arm and pass them out to each runner as they pass you after finishing - keep people moving out of the finish line area and direct them to the post-race snack tent. Cheer them on as they cross the finish line and congratulate them on their run or completing the course.

Details

Clean up all trash around start line and tent city area. Bag and place bags by nearest Dequindre Cut trash can. Pack up all tents, tables, sandbags, cones, signs, markers for cones, selfie backdrop, load supplies into preapproved vehicles driven onto the Cut.

Water station: Water table trash will have been handled by the water table volunteers, however, a team will have to drive down to the East Lafayette entrance ramp and load the water table, marker cone and two mile marker cones and any remaining Absopure supplies.

Milliken Park: A team will have to drive down to Atwater and collect and load all the cones and signs from the Cut onto Atwater and around Milliken Park.
