Help Competitive timing with setup, moving picnic tables, and power cords.
Direct racers to restrooms, food and drinks
Move awards to awards ceremony area.
Put swim wrist bands on all finishers as they cross the line.
Cheer on finishers.
Answer racer questions.
Report issues to the Race Director including injuries or missing runners.

Please Park in the back of the lot at Sage Lodge
Meet Bret at Sage Lodge at 7:00 am.
Please bring a mobile phone or tablet with “Raceday Checkin” app loaded (Let Bret know if you need a loaner).
Detailed instructions for the Raceday Checkin App are at the bottom of the manual.
Sage WiFi is named, “Sage Lodge” and there is no password necessary.
Set up tables outside of the Fireside Lounge. Coordinate with Sage Lodge Staff
Put out hats and other giveaways
Briefing on Raceday Check In app 7:00 am to 7:30 am.
7:30 AM-8:45 AM Registration and Race Number Assignments or earlier if we are ready.
9:00 am the race starts
Once racers are on the course, pack up tables and extra items.

Download the app: You can download the app before race day. Search the App Store or Play Store for “Race Day Checkin”. Once downloaded follow the instructions below. This works on phones or tablets.

For race day check-in and bib assignment:
1 Search for the race, “Yellowstone Gateway 30K”
2 Enter password “Yellowstone” this is case sensitive
3 Click in the top left corner and settings, scroll to the bottom and click '2021'.
4 Go back to the participants screen.
5 When a participant wants to check-in, ask for participant’s name and search in the search bar
6 Click on participant’s name
7 Click check in button
8 Assign bib number and click continue (write name on back of bib if they are picking up for multiple people so bibs do not get mixed up)
9 Notice bib number is now assigned to participant and the entry says “checked in: Yes”
10 Click the back button to search for next participant
11 If a bib assignment is incorrect either make pen and paper notes that you can hand to me when I arrive or I have set up the app where bib assignments can be cleared and fixed.

Aid Stations

Old Chico Aid Station High Priority

Details

1st runners about 9:20 am, last runner/cut off time 2:35 pm
Meet Karrie Kahle at the Old Chico Intersection at 8:00 am Sunday Morning.
You can park your cars along the road if you are working at the Old Chico station.
Karrie will have gear separated by station and ready for you to load,
Personal tools needed: warm and dry layers, sun screen, snacks/lunch, blanket/sleeping bag (if you get cold between runners).
There will be food and drinks when you get to Chico, but that could be as late as 3:00 pm.
Provided: canopy tent, table, water cooler, Tailwind, water pitcher, mixing spoons, gummies, Clif Gels.
Water containers filled with water and canopies will be brought to the upper aid stations for you the day before. Please bring everything including the empty containers down when done.
Set up one 5 gallon container with water, one 5 gallon container with Tailwind. One bag of Tailwind makes 5 gallons.
Fill about 5 compostable paper cups with water, 5 cups with Tailwind for the fastest runners. Fill water bottles with the runner’s choice water/Tailwind for the rest of the cupless runners.
Put out bowls of snacks, and gels, and scoops
Write down every racer number as they pass through your station both ways. If you miss a few don’t worry. The point is if someone leaves the course, we have a last seen point for SAR.
Have First Aid Kits available. Offer them to runners with scrapes if necessary but try to let them doctor themselves so that you don’t expose yourself to the risk of Blood Borne Pathogens.
SAR will be roaming up and down the Gulch with their Side by Side rescue vehicle. Let them know the bib number, description, and/or name of runners who need assistance or a wellness check.
Racers are required to inform aid stations, SAR, or other volunteers if they need to drop out of the race. They will be instructed at the start, to not leave the course without checking out with a volunteer. Report drops to the Race Director 406-581-2617
Representatives from each aid station please return aid station equipment and check in with Race Director (Bret) at the Chico finish line when done

Gulch Aid Station High Priority

Details

Gulch Aid Station 7-mile and 13-mile mark; 1st runners about 9:45 am, last runner about 1:15 pm
Meet Karrie Kahle at the Old Chico Intersection at 8:00 am Sunday Morning.
Karrie will have gear separated by station and ready for you to load
The road becomes very narrow and rocky for the last mile. A small high clearance 4WD truck with off road tires is best but an ATV will also work.
Upper aid station teams please drive slowly and carefully so you don’t damage your vehicle or get a flat. You should have plenty of time to get to your location and set up if you leave by 8:45 am.
Personal tools needed: warm and dry layers, sunscreen, snacks/lunch, bear spray, and cowbells or whatever you want to bring to generate excitement!
There will be food and drinks when you get to Chico, but that could be as late as 3:00 pm.

Report all runners who drop from the race.
Racers must inform aid stations, SAR, or other volunteers if they need to drop out of the race. They will be instructed at the start, to not leave the course without checking out with a volunteer.
The St. Julian aid Station will pack up at the 2:35pm cut off time and head down and will report any runners still on the upper course.
Gulch Aid Station packs up when the last runner comes through and reports any runners still descending the course to SAR and the Old Chico Station.
Have a representative from the Gulch Aid Station check in with Race Director Bret and return aid station equipment at the Chico finish line when done.

St. Julian 10-mile mark: (1st runners about 10:20 am, last runner/cutoff timer 12:35 pm)

Sweep Team

Lower Sweep Team Medium Priority

You must be 16 or older to volunteer for this task.

Details

Bikes are really useful, but you could also run/hike the pre-sweep
Meet Bret at Sage Lodge at 8:00 am to get the gate management plan (in case cows are on the course) then proceed immediately to open the 6 gates on Sage Lodge trails.
IMPORTANT: Radio or call the Race Director from the intersection of Cemetery Road and the Cemetery Access Road with any issues or questions and to report when the course is ready for runners by 8:45 am.
When all runners have cleared, return to Sage Lodge picking up course markers and closing gates on your way and leave course markers with the start line volunteers.
A cell phone medium/small backpack and/or family radio is needed for this task.

Meet at Sage Lodge and travel trails to the Chico Cemetery Access Road and back. Total up to 6 miles.

Upper Sweep Medium Priority

You must be 18 or older to volunteer for this task.

Details

Runner safety is the primary task
Strong bikers or an ATV is helpful.
Meet Karrie at Old Chico at 8:00 am to help aid station crews with setup and then go with the St. Julian aid station crew to the top aid station.
When most or all of the runners have passed the St. Julian Aid Station, descend the course to Old Chico reporting any injured or runners in trouble to SAR.
If you encounter vehicles or ATVs ascending near the bottom of the Gulch Road, inform them that a race is in progress and to be cautious for runners.
A cell phone will work in the upper sections, a SAR radio is needed to communicate with Park Co SAR team. Get a briefing on portable radio operation, channels, and limitations from Park County SAR.
A backpack with a race provided first aid kit is needed for this task.
