Water Station 1/Fun Run Guide

Details

Arrival Time: 9:30 AM
Park at Joy Center and meet with Steve Collins at Joy Center

Responsibilities:
• Prior to 5k, drive to Water Station 1 with cooler, cups, and trash bag.
• Begin filling cups and set out on table.
• If any cars attempt to enter the camp after 10:00 am, instruct them that the road is closed for the 5k. If they need to get to the lake for fishing, and there are no runners crossing at the moment, allow them to drive through, asking them to be careful for runners.
• As runners come by, hand out cups to any who want them.
• The last person participating in the race will be followed by another volunteer wearing an orange safety vest. After they pass through, pick up trash and place in trash bag.
• Pack up cooler, trash, and extra cups and drive into the camp road to Fun Run Guide Station 1 near the swimming pool.
NOTE: The Fun Run won’t start until about 11:00 am. If you wish to return to the Joy Center between runs, you’ll probably have time for that. Otherwise you can wait at Fun Run Guide Station 1 until the Fun Run starts.
• Set up your water station supplies on the table located at your Fun Run station.
• Fill the cups and have them ready for the kids as they come by.
• After last kids pass by, take your supplies to the Joy Center.

Water Station 2/Fun Run Guide

Responsibilities:
• Prior to 5k, drive to Water Station 2 with cooler, cups, and trash bag.
• Begin filling cups and set out on table.
• As runners come by, hand out cups to any who want them.
• The last person participating in the race will be followed by another volunteer wearing an orange safety vest. After they pass through, pick up trash and place in trash bag.
• Pack up cooler, trash, and extra cups.

NOTE: The Fun Run won’t start until about 11:00 am. If you wish to return to the Joy Center between runs, you’ll probably have time for that. Otherwise you can wait at your station until the Fun Run starts. Your water station is the same area you need to be for the Fun Run, although you will probably need to position yourself differently (you won’t want to stay at the water table).
• Before the Fun Run starts, reposition the cones in your area to direct the kids from the camp road onto the trail that runs behind the lodges. (When the Fun Run starts, the kids will run from the starting line toward you. This is the opposite direction from the 5k runners.)
• When the Fun Run starts, position yourself in the road so that you can point kids to make a right turn onto the trail that runs behind the lodges.
After the kids finish the fun run, take your water station supplies to the Joy Center.

Registration Table

Registration Table 1 (pre-registered)

Arrival Time: 8:15 AM
Park behind the Joy Center if possible and meet with Jen Collins at the Joy Center.

Responsibilities:
• The race bibs for pre-registered participants and a box of safety pins should be at your table under balcony in the gym.
• Be sure the “Pre-Registered” sign is hanging above your table.
• As pre-registered participants come to check-in, find their bib and give it to them, instructing them to pin it to the front of their shirt.
• Find their name from the list of pre-registered racers, locate their shirt size, and give them a runner’s packet from the appropriate box. The boxes should be labeled by size.
• Check off their name from the list.
• If someone wants to transfer their race registration to another person, do NOT give them that person’s bib! The money can be transferred, but the bib cannot. Instead, cross out the pre-registered person’s name from the list as a no-show and ask the new person to fill out a paper form. Write TRANSFER/PAID on the registration form and send that person to the line for new registrations.
Once the race has started, your job is finished!

Registration Table 2 (new registrations)

Arrival Time: 8:15 AM
Park behind the Joy Center if possible and meet with Jen Collins or Steve Collins at the Joy Center.

Responsibilities:
• The blank race forms, unlabeled race bibs, and a box of safety pins should be at your table under balcony in the gym.
• Be sure the “Register Now” sign is hanging above your table.
• As participants come to register, have them complete a race form. Check to make sure that everything is filled out correctly (especially name, age, and gender). Only one participant per form.
• Collect $25 registration fee. Checks can be made out to “South Mountain Christian Camp” or “SMCC.” Payments can also be made with Visa, Mastercard, or American Express (see Jen for assistance).
• Write the participant’s name on a blank bib AND write the bib number on the person’s registration form.
• Give the participant their bib, instructing them to pin it to the front of their shirt.
• Ask for their shirt size and give them a runner’s packet from the appropriate box. The boxes should be labeled by size.
• Keep the Registration forms handy for the time management service crew to input the data into their computer
• If someone wants to transfer their race registration to another person, do NOT give them that person’s bib! The new racer must complete a paper form and take it to the pre-registered table where the pre-registered runner will be crossed off the list and TRANSFER/PAID will be written on the new runner’s form. If this has been done, check them in as usual, following all the above steps, but they do NOT have to pay a registration fee.
• Once the race has started, your job is finished!

Parking Station 1

Park behind the Joy Center if possible and meet with Steve Collins and other parking attendants at the Joy Center.

Responsibilities:
• Exchange phone numbers with the other attendants, so that you can contact them at the appropriate time.
• With orange safety vest on, position yourself in the road just downhill from the Joy Center. Direct traffic into Parking Area 1 until it is full, then move on to Parking Area 2, 3, and 4.
• If all marked parking areas become full, call the Parking Station 2 attendant, informing them to begin parking cars in the overflow area.
• At 9:50, racers will begin assembling at the starting line. At this point, we do not want to have any more traffic passing the Joy Center. A stack of cones will be beside the road just uphill from the top of Parking Area 2. Use these cones to block off the road at that point.
• At 9:55, drive to the camp entrance road and park in the road at the end of the pavement to block vehicle traffic.
• If any vehicles arrive after this time, instruct them to park in the office parking lot (or anywhere along pavement) and walk in. Or they can wait until all the runners have passed by the end of the pavement and then drive in.
• The last person participating in the race will be followed by another volunteer wearing an orange safety vest. After they pass through, unblock the road to allow vehicles to move in and out.

Parking Station 2

Responsibilities:
• Exchange phone numbers with the other parking attendants, so that they can contact you at the appropriate time.
• With orange safety vest on, position yourself across the road from the log cabin by the ball fields. Direct traffic toward the Joy Center.
• If all marked parking areas at the Joy Center become full, the parking attendants there will call you. At this point, you need to direct cars to park in the grass across the road from the log and walk to the Joy Center.
• At 9:55, the other parking attendants will block off the camp entrance road, so all traffic should stop. At this point, your job is done.

Park behind the Joy Center if possible and meet with Jen Collins at the Joy Center

Responsibilities:
• Retrieve muffins/donuts from the refrigerator in the Joy Center and place them on the table so that they are available for anyone who wants some before the race.
• Coffee is provided by Village Coffee. They will be set up next to the snack table.
• After the race has begun, fill two coolers with water bottles from the Joy Center refrigerators.
• Move one cooler of water bottles out to the camp road about 50 feet past the finish line so that runners will be able to see them after they finish.
• Keep another cooler of water bottles at the snack table inside the Joy Center.
• Retrieve apples/bananas from the Joy Center refrigerator and bring them to your table. Separate each banana and lay them out on the table along with the apples so that it will be easily accessible to runners as they finish.
• There is no charge for the food and drinks. However, if a bystander asks if they may have some, kindly ask them to wait until ALL the runners have finished the 5k.
• After awards have been presented, pack up all leftovers and place them in the Joy Center refrigerators.

Mile Timer 1

Park at Joy Center and meet with Jen Collins at Joy Center to get your stopwatch.

Responsibilities:
• Take your stopwatch and drive to the camp entrance. Park near the office and walk to your position at the one-mile mark on the trail. There will be a sign at the one-mile mark.
• Be sure you are familiar with the start/stop/reset functions of the stopwatch, or use your own if you prefer.
• Make sure the “One Mile” sign is up and visible to runners as they come up the trail. Be sure not to stand in front of the sign.
• When the time nears 10:00 am, listen carefully for the starting pistol. When you hear the gun, start your timer.
• As runners reach your position, call out the time to them so that they can be aware of their pace.
• The last person participating in the race will be followed by another volunteer wearing an orange safety vest. After they pass through, you can then return to the start area and turn in your stopwatch.

• Take your stopwatch and walk to your position at the two-mile mark on the trail. The shortest route will be to enter the trail near Water Station 2 and walk back to the two-mile mark. There will be a sign at the two-mile mark.

• Make sure the “Two Miles” sign is up and visible to runners as they come up the trail. Be sure not to stand in front of the sign.
• When the time nears 10:00 am, listen carefully for the starting pistol. When you hear the gun, start your timer.
• As runners reach your position, call out the time to them so that they can be aware of their pace.
• The last person participating in the race will be followed by another volunteer wearing an orange safety vest. After they pass through, you can then return to the start area and turn in your stopwatch.

Awards

Finish Line/Awards

Arrival Time: 9:30 AM
Park at Joy Center and meet with Jen Collins at Joy Center

Responsibilities:
• Prior to the 5k start, look over the awards and familiarize yourself with the different categories which will be awarded (listed on the fronts of the trophies and the backs of the medals).
• During the 5k, be ready at the finish line as people cross, congratulating them and reminding them not to cross back through the chip timer at the finish line.
• During the Fun Run, stand at the finish line with the small medals. These can be found on the Awards table in the Joy Center. Congratulate each child as they cross and place medals on their neck (or hand the medals to them).
• After the 5k and the Fun Run have been completed, it will be time to present the trophies and medals to the top finishers. As Steve calls out each recipient, they will come up to receive their award. Work together with the other Award Presenters to give the awards out. We want to keep this moving fast because it takes a long time.

NOTE: Some medals may not be awarded because there were not enough participants in that age category. Be sure to listen carefully to each age category as Steve calls it out.

• Present the award in front of the backdrop on the wall—not from the awards table on the side. This provides great photo opportunities for people.
• For the medals, offer to place it around their neck by holding it up with the ribbon open toward them. Some will allow you to place it over their heads, but some will just take the medal in their hands. Either way is fine, but offer it to each person.
