Pre-Race Day Volunteering

Race Course Setting High Priority

Details

The day before the race we will have two teams out flagging the course so that runners can run the race without getting lost.

We split into two teams so we get the course setting completed faster and so nobody has to walk an entire half marathon while setting flags.

We will do this the day before the race, Saturday June 6th, starting at around 1pm.

Before Races (Course Checkers)

Course Checker - Half Marathon Pre-run - FIRST PART High Priority

At least 1 more volunteer needed.

Details

Part of the "Cobweb Crew"

In order to make sure markings are all in place for the race on race day, we will have at least one runner leave at around 6am to run the FIRST PART of the half-marathon course and check that everything is marked and set the correct way and no hazards have fallen on the course or appeared overnight.

Course checkers should be able to return (or report back conditions) *before* the start of the race at 8:00am and hopefully well before.

When they finish, the course checker(s) should report back to the race director immediately about the condition of the course and any areas that need attention. This is a crucial task that helps make sure all of the runners are as safe as possible.

Course Checker - Half Marathon Pre-run - SECOND PART

Set up tables, bins, boxes, food table, etc. before the runners start arriving.

Race Morning Bib Pickup Medium Priority

Details

Morning bib pickup for the races. Hand out bibs & shirts to runners as they arrive. Register any same day participants.

Kimberly Bridge Aid Station Medium Priority

Details

Set up and man the water table at Kimberly Bridge.

This is the first aid station that the runners will reach in the races.

The half marathon starts at 8am and first runners will begin to reach this aid station by 8:30-ish (mile 3.6) and continue to pass through for another estimated 45 minutes or so.

The 10k starts at 9am and the first runners from that race will reach Kimberly Bridge within around 20 minutes (mile 1.5).

Between the two races the runners should be completely through Kimberly Bridge before 10am and likely sooner.

Fire Tower Aid Station Medium Priority

Details

Set up and man the water table at the Fire Tower Site.

This is the second aid station that the runners will reach in the races.

The half marathon starts at 8am and first runners will begin to reach the fire tower aid station (mile 4.75) by 8:40-ish and continue to pass through for another estimated 45-60 minutes or so.

The 10k starts at 9am and the first runners from that race will reach the fire tower aid station (mile 2.6) around 9:30.

Between the two races the runners should be completely through the fire tower aid station by 10:30am and likely sooner.

Location

Site of the Fire Tower on top of Cross River Mountain at the Park. 3/4 mile hike mostly uphill required.

Set up Intersection 39 Aid Station Medium Priority

Details

Can be done pre-race. This table with water and cups is the third aid station in the race.

It will be positioned as an unmanned aid station at Intersection #39 (mile 8.2) at the south end of the park. It can be conveniently accessed via Spring House Road -- and is approximately 0.25 miles from the end of that road.

Setup of table, water, and cups will be done in the morning before the race. The setup crew (or person) does not have to stay on site during the race. They might want to sign up for clean up if around at the close of the race.

Location

Intersection #39 on the Rock Trail (RT). Instructions and guided pre-race day preview are encouraged unless the volunteer knows the park and road access very well.

Michigan Road Aid Station

Details

Set up and man the water table at the Michigan Road Aid Station.

This is the fourth aid station that the runners will reach in the races.

The half marathon starts at 8am and first runners will begin to reach the Michigan Road aid station (mile 12.4) by 9:40-ish and continue to pass through for another estimated 1.5-2 hours or so.

The 10k starts at 9am and the first runners from that race will reach the Michigan Road aid station (mile 5.6) around 9:40-ish.

Between the two races the runners should be completely through the Michigan Road aid station by 11:15-11:30am and likely sooner.

Race Sweep - Half Marathon - FIRST part High Priority

Race Sweep follows the slowest runners and helps any injured runners by facilitating contact with EMS and evacuation if needed.

We provide our race sweep teams with basic first aid kit, course map grid (also provided to EMS crew), contact number sheet, and backpack.

Race sweeps also clear flags and markings from the course as they follow the slowest participants.

Since the half marathon is two 10k's back to back we will split up the sweep role into two parts (first leg is longer - 8.2 miles; second is around 5 miles).

This signup is for the FIRST PART of the half marathon (race start 8am).

Logistics details for the pickup and handoff between the two half marathon sweep crews will be determined when the teams sign up.

This signup is for the SECOND PART of the half marathon (race start 8am, this second half will pickup around 10am at the approximate 8 mile mark, intersection #39.)

Logistics details for the pickup and handoff between the two half marathon sweep crews will be determined when the teams sign up.

Location

Meet at Meadow but drive to Spring House Road trail access to swap with Half Marathon Sweep Team #1 who are doing the initial 8 miles of the course.

This sweep signup is for the 10k (full course) which starts at 9am.

Cleanup at the race start/finish area. Also help to break down and transport tables and leftover cups from Kimberly Bridge, Michigan Road, and other aid stations back to the start area.
