Race Day Registration & Bib Pick-Up

You must be 12-83 years old to volunteer for this task.

Details

Job Description: Same day registration involves having the participants register using one of the available i-Pads equipped with the Run Sign Up Race Day checkin platform. Either ORRC personnel or the timer can show volunteers how the registration platform operates. Likewise, the software platform is used by the pre-registered participants who are picking up their non assigned bibs.


Instructions:
Greet participants in a warm, friendly manner.
Assist with day of race registrations
Provide each registered runner or walker their bib, and check their name off provided list. After you have signed the participant in and given them their numbered bib, send them to the t-shirt/sock table, where they will pick up their t-shirt/sock. Once the last participant has picked-up, you can start cleaning up your table. Pack all materials in their original box, and return them back to the designated volunteer area.

T-Shirt/Sock Station

Details

Job Description: You will be passing out the official t-shirts/socks to participants when they approach the table. For shirts, you will be provided with a spreadsheet that designates participant names and shirt sizes of participants eligible to receive t-shirts. Participants will place a check mark on their bib in exchange for their shirt. For socks, ask what size they wear.


Instructions:
If their name is not on the list, they may have registered this morning. If so, they should
be wearing a numbered bib. You must check mark their bib before you give
them a t-shirt if their name is not on the list. If they are not on the list, and they do not
have a bib number, they DO NOT get a t-shirt. We order just enough shirts and must make sure all that registered and paid participants get a shirt first and foremost.
Once the last t-shirt is picked up, you can start cleaning up your table. Pack all left-over shirts in their original boxes, and take them to the designated volunteer area.
Please report back to the volunteer station before you leave.

Once all the volunteers have checked-in, highlight the names of any no-shows, keep the

Start Line/Finish Line

Details

Job Description: The finish line is a busy place and it is important we are efficient and helpful. Runners are happy to be done but we need to make sure they don’t clog this vital area so everyone can get through so we don't have a back-up of runners waiting to cross the finish line.


Instructions:
Greet participants in a warm, friendly manner!
Cheer, chant, and explode energy as the participants begin their events! Remember your enthusiasm will get them fired up to conquer this challenge!
Help line up participants.
As participants approach the finish line cheer them in! They have accomplished something great.
When participants cross the finish line, follow any directions provided by the timing company or race director.
Help handout medals as participants cross the finish line.
Once ALL the participants have finished, the timing company will let you know. You will proceed to the volunteer area to check out.

Food Preparation and Awards Presentation

Details

Job Description: Prepare hot dogs ahead of runners/walkers returning. In addition, ensure that condiments, cookies, pop, cups and “paper boats” for hot dogs are placed on serving table for returning hungry runners and walkers. Also help Awards announcer with award (plaque and ribbons) presentations Once all runners, walkers are served, extras can be served to families.

Course

Course Direction – General Instructions

Details

Job Description: Assigned a designated area to direct participants along the course. Responsible for directing participants at key points along the course specifically turns. In case of an emergency, course monitors should contact the volunteer coordinator via phone. Enjoy yourself and cheer on the runners as they go by!


Instructions
Specific instructions will be given for each course direction position.
Course direction volunteers are positioned throughout the course usually at key turns and are responsible for directing runners.
Keeping Runners on Course: As soon as you see a runner, begin to signal with your hands and your voice which direction or turn they are supposed to make. Often runners get in a zone and need plenty of advance warning to know which way to head.
Cheer the runners on -Get up, get excited, and keep them moving. Be creative, bring a radio to play music, wear a funny hat – you’ll be part of the inspiration that keeps the runners moving. Do not tell runners they are almost there no matter where you are on the course. Use words of encouragement like “Good job!” “Keep going!” “Dig deep, you can do it!"
When the sweeper passes to tell you the last runner has passed please return to the volunteer table and check out.

Aid Station - 5K

Job Description: This key role is not just about providing hydration support — but moral support and excitement! As runners travel the course, they may get fatigued; but with your smiling face and cheering attitude, you will revive them! Duties include setting up the station, filling and stacking cups with water and Gatorade, restocking cups throughout the course of the morning, handing beverages to runners as they come by, and finally cleaning up the area when the last runner passes.

Physical Requirements (ability, age, etc.):
Getting wet and standing for long periods is required for this role.


Instructions:
Check in at the volunteer table by 8:30 a.m...
You will be escorted to your station.
All supplies-tub, table, trash can, and water jugs-will be dropped off.
Part of the group will fill cups with water while the rest of the group will be handing out drinks to the athletes.
Pre-fill as many cups as possible before runners reach you.
As athletes approach volunteers should be yelling out what they are handing out so athletes can take what they need. Do not get in the way of the runners; if they want water or food they will come to you. There will be other runners and cyclists on the course, please save food and drink for runners and walkers with bibs.
The sweeper will tell you when the last person has passed. Clean up the area (including picking up cups), take down, tables and pack up the tub of supplies. DO NOT dump out extra water, as we made need it for other aid stations. The truck will pick up the supplies. Bring any lost and found items to the finish line.

Job Description: Walk or ride a bicycle, following behind the last runner/walker. Inform each volunteer along the course when you reach them that you are the last participant.


Instructions:
Walking or riding a bicycle, follow behind the last runner/walker (but not too close, so they don’t feel stalked).
Tell the aid stations/directional volunteers that they can tear down because all the runners have passed them.

This volunteer role assists in pre-race bib and swag distribution. You'll use your smart phone (iPhone or Android) and an app called RD Checkin to assign bib numbers to participants. We'll help you get that set up on your phone.
