Pre-Race Taks

Setup Crew

Thank you for volunteering as part of the Setup Crew for the Newport Pride Run! Your role is critical in ensuring that everything is ready for the event and that participants have a smooth, enjoyable experience.

Duties:
Course Setup: Help set up the racecourse markers, signs, and any barriers needed for the event.
Start/Finish Line: Assist in setting up the start/finish line, including any signage, banners, timing equipment, and water stations.
Registration Area: Help set up the bib pickup area and any other materials needed for the registration process.
Aid Stations: Prepare and set up aid stations along the route.
Post-Race Area: Help set up the post-race area with snacks, drinks, and recovery spaces for the participants.
Timing:
Arrival: Arrive at 6:00 AM to begin setup. The race will start at 8:30 AM, and we need everything ready by then.
Finish: Setup should be completed by 7:30 AM to allow for a final check before the race begins.
What to Bring:
Dress comfortably for the weather, as you will be working outside.
Wear comfortable shoes, as you will be on your feet for most of the time.
Water and snacks will be provided, but feel free to bring your own if needed.
Gloves and other tools will be provided if necessary.

During the Race Tasks

Course Marshal

Details

Description: As a Course Marshal, your role is to ensure the safety and smooth flow of the race by directing runners along the course, providing encouragement, and making sure everyone stays on track.

You may start by assisting with the Kids Run, which begins at 8:30 AM, and then move to your assigned position for the 5K race, which starts at 8:45 AM.

You will receive instructions on race day about your specific location and duties.

Duties:
- Kids Run: Guide and encourage participants, ensuring they follow the designated route.
- 5K Course: Direct runners at key points, assist with directions, and communicate any issues.
- Ensure participants are safe and stay on the marked course.
- Be prepared to handle any questions or issues that arise and report them to race organizers.

Timing:
- Arrive by 7:30 AM for briefing and position assignment.
- The Kids Run starts at 8:30 AM and ends around 8:45 AM.
- The 5K starts at 8:45 AM, and your duties will end once the last runner has passed your position or by 10:00 AM.

Marshal Location Maps:
The Kids Run requires 5 marshals, and the 5K requires 9 marshals. You will be assigned your specific position on race day, but please familiarize yourself with the marshal locations using the maps below:

You will receive final instructions during the briefing at 8:00 AM.

- Dress for the weather (layered clothing recommended).

Location Description: The course starts and finishes at the PAC and includes routes through Historic Nye Beach and along Elizabeth Street with views of the Pacific Ocean. You will be assigned a specific location along the route on race day.

Popcorn Team (Hospital)

Details

Description: The local hospital team will be responsible for making and distributing popcorn at the finish line for participants and spectators. This is a great way to provide a fun, festive treat for everyone after the race. The team will handle all aspects of setup, popcorn making, and cleanup.

Duties:

- Set up the popcorn station at the finish line.
- Make and serve popcorn to participants and spectators.
- Keep the area clean and ensure all supplies are organized.
- Tear down and clean up the popcorn station after the race is complete.

Timing:

- Arrival: Please arrive by 8:00 AM to set up the popcorn station.
- Finish Line Time: Popcorn should be ready by the time participants finish the race, approximately 9:00 AM.
- End Time: The station can be cleaned up and dismantled once the last runner has finished, expected by 10:00 AM.

Post-Race Tasks

Breakdown Crew

Thank you for volunteering to be part of the Breakdown Crew for the Newport Pride Run! Your role is essential in ensuring that the event wraps up smoothly and that all equipment is packed and cleared efficiently.

Duties:
- Course Teardown: Remove race markers, signage, cones, and any barriers along the course.
- Start/Finish Line: Assist in dismantling the start/finish line area, including banners, timing equipment, and water stations.
- Post-Race Area: Help clear the post-race area, including snacks, drinks, and other equipment used.
- Trash Collection: Ensure that all trash is picked up and disposed of properly to leave the area clean.

Timing:
- Arrival: Please arrive at the finish line by 10:00 AM. Breakdown will begin immediately after the race ends.
-End Time: We expect to finish the teardown and packing by 11:00 AM.

- Dress comfortably for the weather, as you will be working outside.
- Wear comfortable shoes, as you will be on your feet for most of the time.
