Details

Set up all Rose City Track Club equipment and stations. This includes set up for the check-in table, registration table, 4x4 sign-up table, and water stations. Note that check-in and registration must be set up by 7:30 because the first race is at 8:30.

Check-in/registration High Priority

Details

Check-in:
Verify athlete names against a registered list. Provide them with bib number, hip number, pins, and heat assignment. Bib numbers and hip numbers will be provided on-site by Athletic Timing. Athletic Timing will give additional on-site instructions to both same-day registration volunteers and check-in volunteers.
After the check-in deadline for the High School section has passed, volunteers will tear down and pack up the check-in table.

Same-day registration:
Athletes doing same-day registration use the rosecitymile.com website to sign up. Volunteers doing same-day registration will guide athletes to the sign-up page and through the sign-up process. Once they have signed up, the athletes will receive bib numbers and hip numbers provided by Athletic Timing. Athletic Timing will give additional on-site instructions to both same-day registration volunteers and check-in volunteers.
After the registration deadline for the open mile has passed, volunteers will tear down and pack up the registration table.
If no courier is available will carry documents to Athletic Timing as needed.

Additional responsibilities:
In addition to their registration duties, volunteers will also field questions about the meet schedule, the location of bathrooms and other facilities, where the starting line is, and so on.

Clerk of the course assistant High Priority

You must be 18 or older to volunteer for this task.

Details

Prepare athletes to participate in the race. Verify that they have bib numbers and stickers. Before each heat, wrangle runners into the waiting area. Run final check in for the next heat. Walk runners to the track in order.

Finish line management High Priority

Details

Hold finish line tap for each heat winner. Keep people moving after they finish. Keep finish area clear to avoid interference with the camera, interference with races.
Sets lap counter to 4 at the start of each race, reduces lap display after each lap is complete. Rings bell when the leader crosses one lap to go.
Get top three finishers to report for awards ceremony, tell them when it is.

Tear down High Priority

You must be 18 or older to volunteer for this task.

Pick up trash, pack all equipment in correct vehicles. Deadline to vacate facility is 1:30 pm.

4x400 sign up Medium Priority

Details

Register people for the relays. Athletes wishing to participate will fill out a card with:
* The relay distance (4x4 or 4x2)
* The name of their team
* The full names of the four team members in order
* Estimated finish time
Any team members who have not registered for the mile will be required to sign a waiver. A sheet will be provided where waiver sign ups can be checked off.
If no members of the team are registered for the mile, they will need to pay a $20 (cash only) entry fee. A manila envelope will be provided to collect cash. On the outside of the envelope, write down the name of the team who paid and $20 so that the transaction log can be reconciled with the cash in the envelope. At the conclusion of the meet, deliver the cash to RCTC Treasurer Kaylee Wessel or her designee.
Once all waivers have been signed and the entry fee collected (if applicable), send the entry card to Athletic Timing.

Kids' races Medium Priority

You must be 18 or older to volunteer for this task.

Help keep kids contained in the starting area when it’s time for the race. Give out flowers at the finish line.

Injury monitor Low Priority

You must be 18 or older to volunteer for this task.

Details

Fills out USATF injury/incident report form. Will be stationed at the North Lake tent and will fill out the form for anyone who arrives with a reportable injury. They will have to ask injured people to fill out the form. Agreeing to fill it out in the event of injury is a condition they agreed to in order to participate.

Kids' activities Low Priority

Details

Ensure that donated materials at the kids' activities station are returned as kids and their parents come and go.
To participate in the kids' activities, kids must be accompanied by a parent or designated guardian at all times.
