Water Station

Details

• The water station is located at approximately 1.5 miles along the race route, on Ridgeland Drive by the airplane statue (memorial).
• Arrive at location by 7:30 a.m.
• Convenient parking should be available over by the Cleveland Park/Zoo area. Please note that Police Officers will begin rolling road closures along the race route at approximately 7:30 a.m.
• Tables and water coolers will be set up at the location.
• Set out/fill cups, place trash cans, and prep for runners arriving (race starts at 8:00 a.m.).
• Once runners arrive, distribute water (see Tips for Working a Water Station handout for specifics). Remember to cheer on the runners as they pass!
• After all runners have passed the Water Station (most obvious signal will be the Police leaving and reopening the road at the McDaniel Ave/Ridgeland Dr intersection), clean up trash and leave area neat and ready for break down.

• Volunteers should congregate by the Field Street gate at 9:00 a.m.
• First call for kids to assemble is at 9:15 a.m.
• Use rope and age posters to begin segregating kids into appropriate groups.
• The Kids Run begins at 9:45 a.m.
• Start the kids by age group, allowing enough time to avoid overcrowding in the gate/field area.

Information Table
• Arrive by 6:00 a.m. at both info tables and volunteer table.
• Operate as general Q&A, lost & found, lost parents, etc.

Floaters
• Beginning at 6:00 a.m., work at various tasks as needed (moving tables, fetch & carry, fill-in assignments, volunteer breaks, etc.).

ID Check
• Beginning at 7:00 a.m., work with Greenville Drive representative to provide alcohol ID bracelets.
• Once Drive rep confirms age, place wrist band on event participant.
• Runners receive coupon for 1 free beer. Mark bib with an ‘X’ and provide the coupon.

• Begin at 7:00 a.m. on the Fluor Field concourse.
• Provide runners/walkers with a bag for belongings. Once the bag is closed, staple shut and mark the outside of the bag with runner/walker bib number.
• Once runners/walkers return to bag drop, match bib number to provide runners/walkers with belongings.

Details

• Begin by 7:30 a.m. at Flour Field concourse.
• Each Kids Zone attraction should have at least 1 volunteer, including the playground area at Fluor Field. Additional volunteers should be placed in high traffic areas or float between attractions to alleviate congestion, assist with hand stamping, etc.
• Volunteers will have waiver signature sheets and stamps for kids’ hands.
• Once parents/guardians sign the waiver then kids receive a stamp on their hands.
• Volunteers will check each child for a stamp prior to granting access to the attraction.
• Volunteers will also provide any necessary instructions to kids regarding the attraction.

Runner Bibs/Check-In (Friday before Event)

• Starting at approximately 11:00 a.m. on the Fluor Field concourse.
• Sort the bibs by alphabetical letter groups for ease of access when registrants arrive.
• Also group bibs for Team entrants into bags, along with shirts for the team members (provide a list of registrants and shirt sizes inside the bag for confirmation).
• Once gates open for packet pick-up (12:00 p.m.), provide runners with bibs & safety pins and mark them off the registrant list. [If a Team member arrives and does not pick up for the entire team, remove that member’s shirt/bib from the bag and cross name off the list in the bag and the registrant list.]
• Direct registrants over to the Shirts Table.

Info Table/Floaters (Friday Before Event)

Shirt Table (Friday Before Event)

• Starting at approximately 11:00 a.m. on the Fluor Field concourse.
• Sort the shirts into two groups, online registrants and same-day registrants and then sort by sizes. A list of all online registrants will be provided.
• Also provide shirts to Runner Bibs table for Team entrants (organized into bags with a list of registrants and shirt sizes inside the bag for confirmation).
• Once gates open for packet pick-up (12:00 p.m.), runners will collect bibs & safety pins first and then proceed to Runner Shirts table.
• Mark runners off the registrant list and also mark the back of the runner bib to indicate a shirt was collected (size substitutions are allowed only as long as same-day registrant shirts remain).

• Continue providing shirts to registrants, starting at 7:00/7:30 a.m.
• After the run begins (8:30 a.m.) and the flow of registrants stops, consolidate shirts with the Runner Bibs table. [After the walk begins (8:30 a.m.), the Runner Bibs table volunteers will pack up leftover online registrant shirts and transport to the HQ table and pack up leftover same-day registrant shirts and transport to the Merchandise table for sale.]

Silent Auction

Friday, March 17th

• Begin around 11:00 a.m. at the Fluor Field concourse.
• Set up tables and unload auction items from the truck.
• Ensure all items are present and lay out for easy viewing.
• Place bid sheets with all auction items.
• After Packet Pick-up has ended (7:00 p.m.), cover and secure auction items.

Saturday, March 18th

• Arrive at 7:30 a.m. to uncover auction items.
• Lay out pens and monitor bidding activity until auction ends at 11:00 a.m.
• [Same-day registration captain (Trygve Thayer) will bring over the cash box.]
• Take cash, check or charge payments for auction items (use Square device to accept credit card payments, listing the items paid for in the “Notes” section in Square).
• Once check-out ends (approx. 12:00 p.m.), move unsold auction items (with bid sheet) over to the Merchandise table for sale at “Buy It Now” price, load station supplies and items that were bid on but not picked up onto rental truck, and break down tables. Everything should be cleared before 1:00 p.m.

• Work with Set-Up Lead to assemble the start line scaffold and other equipment before the 5k run (run starts at 8:30 a.m.)
