First assignment: help stop traffic so runners have a good start
Second assignment: there is a curve and a few blind spots where Pilgrim Church rd and South Lakeshore intersect. Please spread out over the curve to help warn traffic of runners and to keep runners safe.

Second assignment; please head towards the finish, but about a half mile before the finish line please help stop traffic and aid runners and walkers to cross at South St and S Wells. We don't want runners to have to stop so close to the finish line.

Mile Pacers High Priority

July 8, 2023

Details

Groups of two will help pace participants. Starting at an 1:30 finish and going up in increments of 10 minutes. Pacers will have all the same perks as participants, but do not pay to run. You will receive a Semper Running pacing shirt and a pacing sign. Please attend packet pick up like a regular participant to check in and claim your stuff. Then just show up race day. Thank you!

Volunteer Coordinator: To check in and out all volunteers and make sure they return needed supplies. Hand out post party wristbands. 1 per volunteer. Water station leaders will let you know how many they need. You also need to ask how many over 21 years of age or under (there are separate wristbands because of the beer). Around 7am please go help set up the finish chute then back to the volunteer tent, volunteers will be headed back by 8am to start checking out. Please wear your lanyard at all times.

To oversee the finish line and post area set up:

Finish Chute Set Up: Please refer to the master map. Chute can not be set up till the shuttles pull in. Traffic needs to be blocked off from the area. Crowd control gates and banners will help create the chute. Timing company will put up the finish arch, but please help or give them the finish banner for the top. Please wear your lanyard at all times.

Start Line Set/Clean Up: Please follow the master map for set up. Big Foot Recreation department will bring out trash cans to use. Sponsor banners need to be displayed. Once set up, just be around to help answer any questions runners may have. Help keep trash picked up. 7am race starts. By 7:05am everything will get teared down and transferred to the finish line/post party. Please wear your lanyard at all times.

Gear Check: Help assist runners with labeling their gear check. All supplies will be provided. Organize bags however you see fit. By 7:15am please load all it up and head to the finish line. You may run this however you want. Please wear your lanyard at all times.

At the finish line you will collect the relay teams timing chips (Velcro ankle bands), pacer signs and assist in gear check pick up in the finish chute.

Ice Delivery: Get to DJ’s In the Drink by 7am, use key/code provided by Race Director. Load up all pre bagged ice in the walk in freezer. Bring to the finish line at LGMS by 8am. 1 bag to the volunteer coordinator tent, 10 bags to the big blue cooler with Lake Geneva Country Meats, 10 bags to the finish line there is garbage can to ice waters down, finish line volunteers will help. Leave any leftover bags in big blue cooler.

Then head over to the awards table and start setting the awards out. Another volunteer will join you in a bit

The bin will need to be about half way filled with water before arriving to your location, then ice and the towels. Simply hand out the towels as runners approach. The second trash can is for runners to put used towels in if they want. I would set that a little ways passed where you are handing out the towels. Once sweeper runners pass you please bring what is leftover to the finish line. Do not dump we will place at the chute for runners finishing. Check out and enjoy the post party. If there is more than one of you in the same location that means your group needs to stop traffic from both (or 3 directions) as needed. Feel free to bring your own chair to rest while no runners are present. Runners must stay on the LEFT side of the road, and when there is a crossing should do so at the volunteer. Relay Point & Awards Table- Ambassador

Relay Point: There is a sign warning the first runner of upcoming exchange point. Runners are to exchange near the second sign that says ‘Relay Exchange’. The first runner must hand over the Velcro chip. There is a port a john and will be water for you and runners. Please bring your own chairs if desired. The shuttle will run how they see fit, waiting for so many runners then taking to the finish then coming back. Please help them with that. Relay bibs will marked with a BLUE dot for easier identity. When the last relay runner takes off and the last shuttle heads out, you are clear to head to the post party for the awards table. Please condense and organize all supplies and you can leave them near the port a john for pick up. Please wear your lanyard at all times.

Awards: Please get the medals ready for handout. Timing company will provide you with the results needed. Simply ask their name and division and confirm bib number. High light and hand them the correct award. Overall male and female get a different award, if you remember please get pictures of these 2 winners. Overall average time male and female results will not be ready day of, inform them they will be mailed out. There will be a spot to display full list of results near you also. First round of results should be ready by 9:30am, please stay till collection of awards has died down. When finished please tear down your station and pack everything up. Race Day Packet Pick Up

Details

Race Day Packet Pick Up: Packets will be organized by event then by last name in alphabetical order. Simply ask for their last name, friends can pick up each others packets, but they are supposed to show that persons ID or registration confirmation. We are not going to be very strict about this, please ask but if they don’t have it, it is ok. Please highlight their name when they pick up their packet. Give them their bib, event shirt, goodie bag and safety pins. Pacer bibs will marked, they get corresponding pacing sign, event shirt and pacer shirt (if they don't already have one).

All runners should claim their packet by 6:15am and be on their way to the start line, BOTH relay runners go to the start line. If anyone asks there is gear check at the start line. 2.2 Mile have till 8:00am to pick up their packets, 2.2 milers DO NOT get on the shuttle. At 8:00am please condense all left over packets and supplies, those can go to the volunteer check in/out tent. Tables need to be transferred for the post-race snack set up. See map and ask Finish Line Coordinator for location. Please wear your lanyard at all times.

Data Entry Assistant for Race Day Events: The timing company requested help for their back up system. You will simply follow their instructions, but it is manually entering bibs as they cross the finish line. The 2.2 mile have bibs but not chipped time. There will be a big RED dot on their bib to help identify you don't need to enter those bib numbers. Once they no longer need you go ahead and check out and enjoy the post party. Details

If you sign up for this assignment please be ready to do some lifting and moving equipment around.

You will assist the Volunteer Coordinator and the Assistant Vol. Coordinator in the set up of the finish line and post party area.

Post-Race Snack Table: 1 pop up tent, and 2 Tables will be brought over from pre-packet pick up and hang sponsor banner front tent legs. Please set up the snack table accordingly. Lay the paper down, and place snacks on top. Oranges will need to be cut into 4ths, and bananas cut in half, those get put in the 9x13 tins. Bagels and donuts will need to be cut in half. Everything comes out of containers and laid on the table for easy grab. Please wear gloves. Do not put out all inventory of snacks out right away. They need to last till the last runners get off the course (10:15amish). Please monitor the quantity of each and replenish as needed. Once the last of the snacks are on the table you may be done and check out. Please wear your lanyard at all times.
