Get a race number and t-shirt -no timing strip on the back
Let them know there are pins in the can.
Send them to the pavilion to get their t-shirt. They must go to the area for race day reg. We may be out of shirts their size as they are only guaranteed up to Feb 14. We can offer them a shirt from prior years.

They will go to check in to get a color dot to know which group to start the Color Run with.

PLEDGES:
Pledges can be turned in on race day in the blue bag labeled PLEDGES. Please make sure name and school name and total pledges is on the form to give them credit for it.

Check the bibs under their last name on the list from Accuchip and find their number. Give them the bib number with no timing strip attached and let them know there are pins in the can.

1) Do keep out the t-shirts incase other people come by who want to either swap sizes or purchase a t-shirt if they did not do the event. That will be a $10.00 donation take to donation table area.
2) After the race and color run have taken off all other volunteers in this area prepare to break down your area and then if they want to stay to help in another area, they can report to the volunteer area to see if there is another job for them.

T-SHIRT FOR RACE DAY REGISTERING RUNNERS:
1) -Make a check beside the t-shirt tag on the front of the race bib as
they receive their t-shirt and goodie bag.
2) Only use shirts in your area, the ones in the preregistered
area are counted out for participants who pre-registered and reserved a size. If you run out of shirts there are shirts from prior years that you can offer.
3) Do keep out the t-shirts in size labeled boxes, incase other people come by who want to either swap after the race sizes or purchase a tech shirt if they did not do the event. That will be a $10.00 donation -take to donation table area. Chair person please stay with the shirts.

YOU ARE Encouraged to wear a costume of an artist or musician or dancer-some fun theme- sports, Hawaii, 50’s, 80’s. etc.

You should encourage the runners by telling them thank you. Don’t say to them, you’re almost done, etc. Say THANK YOU FOR SUPPORTING THE ARTS. That is our message.

Let them know which way to run from your station especially if you are located at a turning area.

You are also there in case someone needs help in any way or gets hurt. You need to call cell phone number: 561-329-9455 if an emergency arises.

You are also encouraged to bring your iPhone or camera to take photos of people as they pass by, don’t ask them to stop for a photo. If they do stop, fine. The Color Runners/Walkers are more likely to do that than the timed runners. There will be a laptop at the pavilion to upload your photos to our website to show how much fun we have at our event.

If your station is on the north side of the water station area, once the last of the timed 5K runners have passed, then you can start making your way back to the south pavilion area to cheer on Color Me Fun Run finishers.

If your station is on the north side, but south of the water station area, you need to remain in place to cheer on the Color Me Runners and be there for them.

If you are performing, play as much as you can especially when there are crowds of people. There will be times when no one is coming by and you can break. At that point you need to again thank them for coming out to support the arts!

COLOR RUN COLOR THROWERS:
Please don’t over use the colored powder as we have averaged the amount for the number of runners registered. Use the canister provided to put the color in and spray it by forcing the powder through the plastic top.
Be careful not to throw directly in the eyes of people, too. Nothing above the shoulders!!!
Have fun, but also think about what you are doing. ☺ We want this to be fun!!

Volunteer Check In
• Student Volunteer Badges will be divided by school and in alphabetical order by student last name
• On school check in list note arrival time and have student initial
• Provide student badge with their name and clip-on badge holder
• Remind them:
o Assignment areas are listed on their badge
o Some have multiple area assignments, assist with locations
o Students need to have EACH area chair initial their badge both IN and OUT to ensure volunteers are in assigned area on time to receive full credit/service hours
o Tell them the name of the chair person(s) they need to report
• Chair persons & Adult Volunteers will receive badge with lanyard
• Committee Members receive badge with neck pouch
• Volunteers assigned to ANY registration area MUST report to area chair by 5:30am for setup
• Remind individuals to assist breaking down at their last assigned area or check back for break down/clean up areas to be assigned as needed
• Remind students Community Service Hours will be granted at time of check out 10:00 AM

Hand participants crossing the finish line a cup of water or direct them to the water tent.

Please make sure to stay far enough past the finish line not to get in the way of the runners crossing the finish line. Many will push to end and they will accidently run into you if you are in the way.

Prepare and Serve food and fluids at refreshment tent

If anyone has coolers they can bring, please put your names on them and bring them Friday if possible. We won't have Pepsi or Coke Trailer this year. So we will need extra coolers.

Water area- just make sure the water cups stay full on the tables and hold out water cups for runners and walkers as they pass by. IF there is any water left over please bring to the main pavilion and put by the closet door. We will return any unopened gallons for a cash refund.

Food Area: Cut oranges in quarters and place in bowls. You won't need to cut bananas just place containers on tables. Cut bagels if not already cut, so some people may only want top or bottom and not a whole bagel. Keep knives in peanut butter for bagels. Munchkins and chicken bisquits keep in containers on tables. Have napkins available.
Coffee can go out when it arrives.
Don't put food out until 7:00 when runners will be coming in. We don't want the Color Runners to eat it before they run if possible to make sure we have enough. :-)

Cups will be provided for Gatorade coolers. Someone will make Gatorade in am. And it will be under the food tent.

them know there are pins in the can. If you cannot locate their last name, check under
their first name and if not under first name then check under the first part of the last name
if a hyphenated name. If you cannot locate them on the list refer them to the AccuChip
representative located in the registration area and they will assign them a number.

- Have them check the information at the bottom of their race
number to make sure it is correct . If they have any changes, refer them to the
AccuChip representative and they will update for them to insure accurate scoring.

SEND THEM OVER TO pavilion to get T-SHIRT must get the size they
signed up for as they are accounted for.

Mandatory Volunteer Training and explanation of assignments Sunday, February 12, 2017 4:00-5:00 PM at the
Dreher Park, 1301 Summit Blvd south of Palm Beach Zoo, Main Pavilion. This is so you are informed before the race where to report on race day.

You will need to turn in the form to Accuchip so they can input the information in the
computer after you have registered and received money. An AccuChip representative will
be located in the registration area and will come by to collect all of the forms, so just
keep them together and they will pick them up from you at multiple times during
registration.

Give the participant:
-Bib number
-write the race number on their registration form along with Paid and let them know there
are pins in the can.

Please insure that you can legibly read their first name, last name, age and gender.
Handwrite any updates directly on the form to assist the AccuChip data entry person with
accurate keying of data.

They will need a bib with timing strip attached if they are a runner!

They will go to the pavilion to get a goodies bag and a T-shirt (if you run out of their size
offer them another size)
Take their registration form to the people doing the timing for the race. An AccuChip
representative will be located in the registration area and will pick these up from you so
keep all completed forms together at your table.

Pledges can be turned in on race day in the blue bag labeled PLEDGES. Please make sure
name and school name and total pledges is on the form to give them credit for it.

AFTER THE RACE TAKES OFF AND YOU START
BREAKING DOWN:
Please give money bags to Cindy Oakes ****** super important
Use monies collected form
Put Race for the Arts at the top
Write their check number and then their name and then the amount
Total each slip and wrap the checks contained on each form inside the monies collected
form and begin a new form.
After the race has taken off all other volunteers in this area prepare to break down your
area and then if they want to stay to help in another area, they can report to Doni at
the volunteer area to see if there is another job for them

Help take pictures for participants with their cameras or phones

Remind them to use #raceforthearts when they post on Facebook, instagram, twitter and they can email us pictures through our website contact us email

Clean up at 9:00-put all props back in container and bring to pavilion

Keep an Eye on markers in drawing area to make sure they remain with the drawing.

Clean up at 9:00-put all markers back in container and bring to pavilion
