Setup online auction site. Solicit businesses for auction items. Work with race directors to obtain graphics, price and post items to auction site. Coordinate communications to interested parties prior to and during the auction. Contact auction winners for payment. Organize distribution of auction items locally and at the tent during race day.

Packet Pickup / Registration Coordinator

Details

Coordinate packet pickup at Playmakers on Friday and at the track on Saturday. Be aware of individual race costs and onsite registration process. Be aware of pre-registered packet pickup process. Communicate processes to volunteers.

Course Marshal Coordinator

Details

Know the course routes and where course marshals, barricades and police are required. Know traffic patterns and safety concerns. Contact groups and individuals to solicit volunteers, and assign them to course marshal locations. Coordinate communications to volunteers prior to and during the event.

Water Station Coordinator

Details

Collect and organize cups, trash receptacles, Gatorade mix, Gu. Be sure there are enough coolers to cover the needs (water and Gatorade) of each water station. Drop coolers and Gatorade mix at DeWitt High School Athletic Trainer's office. Coordinate the setup and collection of various water stations around the course. Communicate with setup and collection volunteers prior to and during the event.

3. Money
a. Ensure money collected matches the entry form selection
b. Make sure check is written to Pulmonary Hypertension Association
c. Write “CHECK #” and check number on bottom of entry form by signature. If cash payment is made, mark “CASH” on entry form.
4. If available, get a shirt from “extra” pile in participant’s size
5. Get a race bag

Registration closes at 7:45 for Half, 8:00 for 10K, 8:10 for Kids Run, and 8:25 for 5K. Start for all races is on road in front of entry to football stadium.

Instructions: stay straight, stay on left side of road; just past Mile #12

• Pay attention, Be prepared for runners and vehicle traffic at all times
• Refrain from texting, gaming & talking on the phone unless communicating w/a course official
• Wear orange vest at all times
• Stop/Slow vehicular traffic as needed
• Take up a position easily in view by the runners
• Signal early with hands & voice which direction they are supposed to take. Often runners need plenty of advance warning to know which way to head.
• ENCOURAGE, CHEER, BE LOUD!!

Water Station #1 - Pride Drive

Pickup discarded cups
Runners continue straight / Turnaround ahead; just past Mile #2

• Setup table, pre-pour water/Gatorade into cups and put on table to be ready, use lulls in runners to pour more cups
• Pay attention, Always be prepared for runners and vehicle traffic
• Refrain from texting, gaming & talking on the phone unless communicating w/a course official
• Setup distribution with water first, then Gatorade – spread out before and after the table
• Hold cups from the top to allow runners to grab the cup and shout what is in the cup
• Stop/Slow vehicular traffic as needed
• ENCOURAGE, CHEER, BE LOUD!!

Post-Race / Cleanup

Collect Barricades

Details

Transport barricades from appropriate locations around the school property - Herbison, Clark, Pride - to drop off at DeWitt Track. Validate barricades are removed from roads at appropriate places around the race courses. Access to truck or trailer is required.

Clean up Cones on Course

Details

Drive course and collect cones. Transport cones to drop of at DeWitt track.

Two groups of two people will be necessary: One group to pull cones for miles 1-6, and the other to pull cones for miles 6-10.

Pickup Water Stations

May 20, 2017

Details

Collect cups, trash, Gu, coolers of water, coolers of Gatorade, signage and tables from various water station locations around the course and deliver all (except tables) to Race Director's residence. Deliver tables to track, under tent, for collection.

Track Cleanup

May 20, 2017

Details

Pickup tables / chairs, hurdles back to edge of track, take down signage, transport all race paraphernalia to local storage, lock track area and restrooms.

Course Cleanup

Details

Make sure all cones are picked up, barricades are in the proper location, all signage has been removed from course.
