This position supports Saturday packet pickup for the 1‑Mile and Fun Run events. Volunteers in this role will assist with checking in participants who have already registered online and distributing race packets in a fast‑paced, customer‑facing environment. This position experiences a high‑volume peak earlier in the morning and then transitions into shutdown and pack‑up duties as activity slows.

This position will require you to do the following:

-Check in registered 1‑Mile and Fun Run participants using a smartphone app
-Assist a steady flow of participants between approximately 8:00 AM and 9:45 AM
-Continue assisting participants as volume slows after the 5K begins at approximately 10:15 AM
-Help shut down unused check‑in lines and transition stations as directed
-Remain open until 11:15 AM to support any remaining Fun Run packet pickups
-Provide friendly and efficient customer service to participants and families
-Work as part of a team to keep packet pickup running smoothly

Requirements for this position include:

-A working smartphone (iPhone or Android)
-Ability to download and use a free race check‑in app
-Comfort interacting with large crowds in a busy environment
-Reliability and punctuality

This position may be performed sitting or standing. Chairs and tables will be provided at each volunteer station under a tent.

Required App Information:

-This position requires use of the RaceDay Check‑In app to check in participants
-The app is free and available in the Apple App Store and Google Play Store
-Volunteers may download the app prior to training or during the training session
-Please be sure you know your email address and password needed to download apps on your phone

Mandatory Volunteer Training:

-All packet pickup volunteers are required to attend a mandatory training session
-Training will be held on Wednesday, September 30 from 6:30 PM to 7:30 PM
-Training will include reviewing packet pickup expectations, downloading and setting up the app, and walking through the overall process
-After training concludes, the app will be disabled until packet pickup day to prevent issues
-A brief refresher will also be held on site the morning of the event

This position supports the Information and Fundraising Table on Saturday and works closely alongside the Race Director during the busiest morning of the event. Volunteers in this role assist with participant questions, same‑day registration support, line guidance, fundraising turn‑ins, and additional support tasks during slower periods.

This task will have up to four volunteers working together as a team. One volunteer will be designated as the fundraising turn‑in person for the shift. That individual will be our event bookkeeper and will manage all fundraising funds and procedures.

This position will be located next to the Race Director for immediate communication and troubleshooting as races and activities are getting underway. Volunteers help ensure the Race Director can focus on overall race operations.

This position will require you to do the following:

-Serve as the primary information point for participants and spectators
-Answer general schedule and event‑related questions
-Assist participants who need help completing same‑day registration on their phones
-Direct participants to the QR code that links to the registration platform
-Ensure participants complete registration before entering packet pickup lines
-Assist with managing lines as crowd volume increases
-Support the designated fundraising turn‑in volunteer as needed
-Communicate with the Race Director regarding questions, issues, or escalations

Fundraising Responsibilities:

-One volunteer will be designated as the fundraising turn‑in person
-This role will be handled by the event bookkeeper, who will manage all funds and procedures
-Other volunteers may direct participants with fundraising questions or turn‑ins to the designated person
-Very limited fundraising collection typically occurs on Saturday

Line Guidance Responsibilities:

Help direct participants to the appropriate packet pickup lines

-Fun Run packets may be picked up at any designated line

Additional Responsibilities During Slow Periods:

-Assist with unboxing finisher medals
-Hang medals on the provided coat rack inside the tent
-Help maintain organization and overall flow at the Information Table

This role requires an outgoing, personable volunteer who is comfortable assisting large numbers of people and helping with technology‑related questions. This role may involve standing for extended periods. Radios will be provided on Saturday for communication.

This position supports Saturday T‑shirt and merchandise distribution for the event. T‑Shirt Runners will be stationed in a dedicated tent separate from packet pickup. All participants will have already completed check‑in at the packet pickup station before arriving at the T‑shirt tent.
After check‑in, participants will be handed a slip that shows the quantity and type of shirts and merchandise they are picking up. One section of the slip will indicate guaranteed shirts for participants who registered by the guaranteed deadline, and another section will indicate extra shirts if applicable. T‑shirt inventory will be organized to match this system.

This position will require you to do the following:

-Arrive at 7:00 AM for setup and a brief refresher before participant flow begins
-Work from a dedicated tent separate from packet pickup volunteers
-Collect the T‑shirt and merchandise slip from participants after they have completed check‑in
-Gather the correct number and sizes of guaranteed and extra shirts based on the slip provided
-Collect any additional merchandise items listed on the slip, along with the indicated quantities
-Assemble a complete order before handing items to the participant
-Work efficiently during peak morning volume
-Maintain organization and accuracy at your assigned workstation
-Assist with consolidating inventory and light breakdown as participant volume decreases

This role requires multiple volunteers so that each volunteer can manage their own workstation and assist one participant at a time. This role operates independently from packet pickup and reflects an updated process from previous years.

This role is ideal for high school‑aged volunteers and adults. Students looking to earn volunteer hours are encouraged to sign up, and event staff will complete any required paperwork for schools as needed.

This position supports all physical setup for the event venue. Volunteers in this role will assist with unloading equipment, setting up tents and stations, and preparing all areas according to the event layout.

Up to six volunteers will be assigned to the Event Setup Crew.

Setup will begin in the main event area and then move outward to additional areas as needed. Certain areas must be set up in a specific order, which will be reviewed on site.

This position will require you to do the following:

-Arrive promptly at 5:30 AM
-Attend a brief on‑site meeting with the Setup Team Leader
-Review the site map, layout, and setup priorities
-Assist with unloading a U‑Haul truck and trailer
-Set up 10x10 and 10x20 easy‑up tents
-Set up 6‑foot folding tables and chairs
-Assemble the photo booth banner and backdrop
-Assist with Kids Zone setup, including totes, pumpkins, and supplies
-Help prepare and inflate already‑placed inflatables
-Follow the layout map and Team Leader direction
-Report completion or issues to the Team Leader as setup progresses

The goal is to have the main event area fully set up by 7:30 AM, with all remaining setup completed by 8:30 AM at the latest.

This position supports the setup of all event signage, including course directional signs for the 5K, 1‑Mile, and Fun Run, as well as sponsor signage throughout the venue.
Correct placement of signage is critical to participant safety, course flow, and sponsor visibility. Volunteers in this role must be detail‑oriented and comfortable working independently or in small teams.

This position will require you to do the following:

-Set up sponsor signage throughout the main event area
-Ensure all sponsor signs and banners are fully placed by 8:00 AM
-Place directional and course signage for the 5K, 1‑Mile, and Fun Run routes
-Complete all course signage placement by 9:30 AM so routes are ready for the 10:00 AM first event
-Use a rubber mallet to secure yard signs and banner stakes into the ground
-Place yard signs and sponsor banners according to the provided course and venue maps
-Confirm signage is clearly visible and oriented correctly for participants

Important Role Requirement:

-At least one volunteer assigned to course signage placement is required to attend the venue walkthrough meeting during the week of the event
-This walkthrough will include reviewing the layout, signage locations, and course flow
-Time will be set aside to review and/or ride the course so signage placement is clearly understood
-A detailed course map with labeled signage locations will be provided

Incorrect placement of course signs can cause confusion and safety issues, so following the map precisely is essential.

This role involves walking long distances, standing, bending, and hammering signage into the ground.

This position supports event parking management prior to the start of Saturday’s races. Parking Lot Attendants help direct participants and volunteers to approved parking areas and ensure restricted lots are not used.

Volunteers in this role will be stationed off site at designated parking locations. A parking map showing all approved and restricted parking areas will be provided and used as a reference throughout the shift.

This position will require you to do the following:

-Arrive by 7:00 AM and check in at the Volunteer Check‑In Tent
-After check‑in, meet with the Event Equipment Team Leader to receive parking assignments, safety vests, and final instructions
-Review the parking map provided prior to being deployed
-Direct participants and volunteers to approved event parking areas
-Inform drivers that parking is free in designated event parking lots
-Advise drivers that street parking should be assumed to be paid parking and may require use of a parking app
-Help maintain smooth and safe traffic flow into parking areas

Specific parking assignments may include:

-Monitoring the Library Parking Lot and preventing event parking in this area, as the Borough is strictly enforcing restrictions and vehicles may be fined and/or towed
-Directing vehicles to approved parking across the street on 9th Street and into the Baseball and Football Field parking lots
-Avoiding directing vehicles to the Soccer Fields, as games are typically occurring during the event
-Assisting at parking locations near the Pool Parking Lot and Playground Parking Lot
Supporting parking flow near entrances and intersections as designated

Important requirements for this position:

-Volunteers must be at least 16 years old
-This role requires working away from the main event site and may involve standing on or near a main roadway
-Volunteers must have a working cell phone for communication with the Race Director or Task Manager

This position supports full event teardown and venue cleanup following the conclusion of the event. Volunteers in this role help ensure all equipment, supplies, and materials are properly packed, collected, and loaded for departure.

Up to six volunteers will be assigned to the Event Teardown Crew.

Teardown will begin after the awards ceremony concludes and will be coordinated carefully to avoid interrupting the ceremony or post‑race activities.

This position will require you to do the following:

-Begin teardown at approximately 12:00 PM
-Assist with breaking down tents, tables, chairs, and equipment
-Collect materials from stations once Team Leaders confirm they are packed
-Load equipment back into the truck and trailer as directed
-Follow direction from the Teardown Team Leader throughout the process

Coordination With Team Leaders:

-Station Team Leaders are responsible for packing their areas prior to teardown
-All supplies are organized into labeled totes with QR codes
-Team Leaders will scan QR codes and repack items to match original organization
-Packed totes will remain at each station until the teardown crew collects them
-This system allows teardown to begin efficiently without interrupting the awards ceremony

The venue contract requires the event to be fully off site by 1:00 PM. A buffer until 1:30 PM is included to allow for natural delays.

This position serves as the leadership role for all First Aid operations on Saturday, including the Start/Finish First Aid Tent and the On‑Course First Aid & Water Station. The First Aid Stations Team Leader coordinates staffing, setup, communication, and breakdown for all medical support areas.

This position acts as the primary liaison between medical volunteers, course operations, and event leadership to ensure participant safety throughout the event.

This position will require you to do the following:

-Arrive early to assist with first aid station setup and readiness
-Coordinate placement and staffing of all first aid locations
-Ensure medical supplies and equipment are distributed appropriately
-Serve as the main point of contact for medical‑related concerns
-Communicate with the Race Director and Course Marshall leadership as needed
-Support medical volunteers with logistics and coordination
-Confirm coverage remains in place until the event concludes

Leader Responsibilities – Training & Preparation:

-All team leaders are required to attend a venue walkthrough meeting during the week of the event
-This walkthrough will review station locations, layout, expectations, and leadership responsibilities
-Team leaders will receive maps, emergency protocol handouts, and other key information

This position will require you to do the following:

-Collect the T‑shirt and merchandise slip from participants after they have completed check‑in

This position supports both medical assistance and hydration for participants on the course during Saturday’s events. This is a combined First Aid and Water Station located on the course near the football field off Mill & 9th Street.

Volunteers will first check in at the Volunteer Check‑In Tent located at the main event site. After check‑in, volunteers will return to their vehicles and drive to the assigned station location. A tent, table, and chairs will already be set up at the site. Water jugs, cups, trash receptacle, medical supplies, radio, and automated external defibrillator (AED) will be delivered to the station; however, volunteers will be responsible for preparing the water station upon arrival.

This station will be staffed by up to three volunteers. At least one registered nurse is required, with two registered nurses preferred. One volunteer may focus primarily on water station setup and water distribution while working closely with the medical staff.

This position will require you to do the following:

-Set up the water station upon arrival, including preparing water and organizing cups
-Provide first aid support to participants as needed
-Monitor participants passing the station and assist anyone who stops for care
-Manage water distribution for participants who wish to grab water without slowing down
-Understand that water will not be ice cold, as this is safer and preferred for runners
-Ensure water cups are regularly filled and available throughout the event
-Collect discarded cups and maintain cleanliness around the station
-Communicate with event leadership via radio as needed

This position supports on‑course safety and participant guidance for all Saturday events, including the 1‑Mile, 5K, and Fun Run. Course Marshals play a critical role in ensuring participants stay on course, intersections are managed safely, and all events run smoothly.
Up to 11 volunteers will serve as Course Marshals and will be stationed at key locations along the course. Some positions will support multiple events as participants move through shared areas of the course at different times.

All Course Marshals must be in their assigned positions and ready by 9:45 AM.

There will be a designated Course Marshal Team Leader who will serve as the primary point of contact for assignments, questions, and updates throughout the event. All Course Marshals will be provided with a safety vest and a radio for communication.

This position will require you to do the following:

-Arrive at 9:00 AM for check‑in, assignment, and final instructions
-Be in your assigned location and ready by 9:45 AM
-Clearly direct participants to ensure they remain on the correct course
-Support participants in the 1‑Mile, 5K, and Fun Run events
-Provide extra guidance and encouragement, especially for younger participants in the Fun Run
-Monitor your area as events overlap and participant flow changes
-Communicate any issues or concerns to the Course Marshal Team Leader
-Remain at your assigned location until cleared by the Team Leader as participant volume decreases

Some Course Marshal locations require adult volunteers. These specific assignments involve temporarily stopping incoming parking lot traffic to allow participants to pass safely.

Volunteers assigned to these locations will be provided with stop signs and additional safety equipment.

Course coverage duration will vary by location. Volunteers assigned farther out on the 5K course may remain in position until approximately 11:15 AM. Volunteers closer to the start area may assist with multiple events as the 1‑Mile, 5K, and Fun Run overlap and flow through shared sections of the course.

This role is very important to the overall success and safety of the event. Course Marshals should be outgoing, attentive, and comfortable giving clear directions and answering basic questions from participants or spectators.

Course Cyclists play a key role in guiding participants safely and confidently along the course during Saturday’s events. This position supports both the 5K and the Fun Run and helps ensure participants stay on the correct route from the very start of each race.
We are looking for one to two cyclists total. Volunteers must bring their own bicycle and be comfortable riding at race pace in front of and alongside participants. Familiarity with the course is required.

This position will require you to do the following:

-Arrive by 9:30 AM for check‑in and final instructions
-Provide course guidance for the 5K participants at the start of the race
-One cyclist will serve as the lead cyclist and guide participants through the first loop of the 5K
-Due to the looped course, the lead cyclist will bring participants to the beginning of their second lap, then promptly dismount and walk the bike back toward the main event area so participants do not follow off course
-A second cyclist, if available, will trail behind the main pack to help ensure participants stay on course
-Assist with leading the Fun Run participants through their one‑loop course
-For the Fun Run, one cyclist will ride ahead while another cyclist follows behind to ensure no participants are left behind
-Provide visibility and guidance for younger participants
-Communicate with event leadership if any issues arise

Parents will maintain a clear line of sight throughout the Fun Run course, but Course Cyclists provide an added layer of guidance, safety, and reassurance.

This role is ideal for confident, experienced cyclists who are comfortable riding around runners and walkers, dismounting quickly, and walking a bike when needed. This position is active and requires both riding and walking during the event.

-Stand at the finish line with medals draped over both arms
-Hand a finisher medal to each participant as they cross the finish line wearing a race bib
-Ensure finisher medals are only distributed to participants with visible race bibs
-Understand that the 1‑Mile Stroll does not include finisher medals, as this event does not use race bibs
-Remain upbeat, encouraging, and congratulatory as participants finish

This role will remain active until the final 5K participant crosses the finish line. As the 5K concludes, volunteers will transition to preparing for the Fun Run.

Fun Run Medal Distribution:

-The Fun Run will begin at 11:15 AM
-The Race Director will assess the remaining supply of 5K finisher medals
-Whenever possible, remaining 5K medals will be used as fun run finisher medals
-Fun Run medals will be distributed in the same celebratory manner as the 5K
