The Parking Coordinator is the first face participants see when they arrive at Windsor Castle Park. On May 9th, their job is to prevent a bottleneck and ensure everyone is parked and at the Start line by 8:30
We are expecting 200+ runners plus spectators, this role requires high energy and clear communication.

Mission: Keep the flow moving, keep the pedestrians safe, and get everyone to the start line on time

Pre-race: Race packet stuffers/Organizers Medium Priority

Details

Pre-race Packet organization is going to happen on Thursday May 7th by 3pm at Fit Body Location. High-energy "behind-the-scenes" operation that is perfect for high school volunteers

Mission: Pulls one bib and one shirt (checking for the correct size on the registration list).Places the bib, safety pins, and any sponsor "swag". Double-checks that the shirt size matches the sticker on the bag. Files the completed packets alphabetically by last name in bins or crates.

Register Personnel Medium Priority

Details

The Registration Personnel are your "front desk ambassadors" for the morning of the race. While most people will have picked up their packets on May 8th at the gym, this team handles the "last-minute" crowd and the inevitable questions.

Mission: Hands out packets to those who registered but missed the Friday pickup. Helps people register on their phones/tablets via the website. Handles bib swaps, missing shirts, or registration errors.

Radio communication Medium Priority

Details

The Radio Communication Role (often called Net Control or the Communications Lead) is the "nervous system" of the GoHAM 5K. While you have 200+ runners, Windsor Castle Park has areas where cell service can be spotty, making reliable radio contact essential for safety and logistics.

Mission: Maintain a clear, open line of communication between the Race Director, Course Marshals, and Medical Personnel to ensure a safe and efficient race

Aid station (CPR certified) Medium Priority

Details

The Aid Station (CPR Certified) role is the most critical safety position on the course. While the atmosphere is celebratory for the 1-year anniversary, the "Go Hard" part of the GoHAM mindset means some participants will push their limits.

Mission: To provide rapid assessment, basic life support, and hydration in a high-stress environment

Start Line Medium Priority

Details

The Start Line is the focal point of the entire morning. This role requires high-energy leaders who can manage a crowd of 250+ while keeping the timeline strict.

Mission: Keeping the crowd informed and excited, Organizing runners into "Waves" or "Corrals" to prevent a bottleneck on the Windsor Castle Park trails. Leading the final 10-second shout to start the race at 9:00 AM.

Finish Line Medium Priority

Details

The Finish Line is where your "Go Hard And Mindful" philosophy meets the "Anniversary Celebration." This is the most high-energy, high-emotion spot of the day. Since the GoHAM 5K is your inaugural event, the Finish Line experience will define how people remember the race

Mission: Placing the Medals around finishers' necks, Eye contact and a sincere "Congratulations!" or "You went HAM today!", Keep medals unwrapped and draped over arms or a rack to avoid a "plastic crinkle" bottleneck.

Course Monitors Medium Priority

Details

The Course Monitors are the "eyes and ears" of the GoHAM 5K. While your Aid Station handles medical needs and your Radio Lead handles the signal, the Course Monitors are stationed at every turn and intersection in Windsor Castle Park to ensure no one gets lost or injured. Golf cart will be available.

Mission: To provide clear direction, safety oversight, and high-energy motivation to every participant from the first runner to the last walker

The Awards Role is the "Grand Finale" of the event. Since this is your 1-year anniversary, the awards ceremony at 10:00 AM is where we transition from "Race Mode" to "Celebration Mode."

Mission: To accurately identify winners, organize the physical trophies, and manage the podium flow for a professional, high-energy ceremony

The Pre/Post-Race Refreshments Role is the heart of the "Anniversary Festival" at 10:00 AM. This team manages the transition from "exhausted runner" to "celebrating member."

Mission: To provide clean, high-quality hydration and recovery fuel while maintaining a festive, organized 'Anniversary Cafe' atmosphere

Clean up Crew Medium Priority

The Clean-Up Crew is the "Silent Guardian" of your reputation with Windsor Castle Park and the Town of Smithfield. Since our mission involves community impact and longevity, leaving the park cleaner than you found it is the ultimate "Mindful" act

Mission: To restore Windsor Castle Park to its natural state and ensure every piece of GoHAM branding is accounted for by 1:00 PM
