Beat the Heat is committed to delivering a race-day experience that is fun, efficient, and environmentally responsible. Because we manage all race-day food and beverage service, we are able to carefully control what comes into the venue, reduce unnecessary waste, and maximize composting and recycling efforts. We ask our sponsors, exhibitors, and partners to join us in supporting these sustainability goals.

How You Can Help

Go Digital When Possible

Please use digital materials in place of printed handouts whenever possible.

  • Use QR codes for giveaways, sign-ups, promotions, and product information

  • Replace paper flyers with digital brochures, landing pages, or email signups

  • Minimize printed materials that can easily become litter in an outdoor venue

Printed materials often blow around the event site and create unnecessary waste. Digital engagement helps keep the venue cleaner and more efficient for everyone.

Choose Better Packaging

If you are providing samples, giveaways, or food-related items, please prioritize low-waste and compostable materials.

  • Use compostable cups, trays, napkins, etc. whenever possible

  • Avoid Styrofoam and hard-to-recycle packaging

  • Minimize individually wrapped items unless necessary for food safety

  • Reduce excess packaging on giveaways and promotional materials

Keep Booth Waste Simple

Please help us reduce contamination in waste streams by keeping exhibit area waste easy to sort.

  • Flatten and consolidate cardboard

  • Recycle clean paper, cans, and bottles

  • Compost food scraps and approved serviceware where available

  • Place waste in the proper collection containers throughout the venue

Our team will provide clearly marked waste stations to make sorting easy.

Bring Thoughtful Giveaways

Choose useful, durable items that attendees are more likely to keep and use.

Better options include:

  • Reusable bottles or cups

  • Stickers

  • Digital coupons

  • Samples with minimal packaging

  • Useful branded gear

Please avoid single-use giveaway items that are likely to be discarded on-site.

Leave No Trace

Help us keep the Fairgrounds clean and race-ready.

  • Secure lightweight exhibit area materials

  • Avoid loose paper or packaging that can blow away

  • Break down and remove excess materials at the end of the event

  • Leave your exhibit space as clean as you found it

Beat the Heat manages race-day food and beverage operations to reduce waste at the source and ensure consistent sustainability practices across the venue. That means no outside food trucks, fewer unknown waste streams, and better control over composting, recycling, and landfill diversion.
