WRATH Racing Policies
Overview:
WRATH Racing is a small business. Our events have a 6-year pay-back horizon, meaning that they are expected to lose money for the first 2-3 years, before gradually starting to earn money each year, and (hopefully) break even overall by the 6th year. None of our events has yet reached the payback horizon, so any cancellations, postponements, or changes in registration numbers will result in a monetary loss for the company, especially if it occurs close to the event date.
-
Some expenses are paid several months prior to the event, and may be non-refundable (ie Permit applications, Special Event fees, Sanctions, venue deposits & timing deposits)
-
Medals and ribbon are typically ordered 45 days prior to the event and are non-refundable. Depending upon the design, they might not be able to be used the next year.
-
T-shirts and other swag are generally ordered 2-3 weeks prior to the event. Depending upon the design, they might not be able to be used the next year.
-
Aid station items, with the exception of fresh fruit and ice, are generally purchased 1 week prior to the event. Depending upon the item, it may expire before we can serve it at another WRATH Racing event.
That being said, our company's future depends upon treating our runners well, even when circumstances are beyond our control. We are runners too, and we've designed our policies to treat you the way we would want to be treated.
Adaptive Athletes and Athletes With Disabilities (AWD):
Policy: WRATH Racing welcomes all athletes to participate in our events providing they can complete the race distance within the time limit while using reasonable accommodations.
· Adaptive Athletes and AWD Participants must notify the race director at least 30 days before the event.
· They may have assistance in the form of pushers, guides, guard runners, etc at any point in their event, and may have other accommodations per USATF guidelines.
· Where the person(s) providing assistance are not also registered runners, the Pacer policies (defined below) will apply to them.
Eligible Races: All. Some events, such as The Dalmatian Run Fest, have defined additional guidelines for Adaptive Athletes and AWD Participants. Please ask the Race Directors for clarification if there appear to be any conflicts with the guidelines on this page.
Bib Transfers:
Policy: WRATH Racing allows registered runners to transfer their in-person registration to another runner for a $5 fee, until the t-shirt deadline, generally 2 weeks prior to the race. If the original runner purchased an add-on (such as table/chair rental at Perpetual Motion) that add-on is assumed to transfer with the bib.
Eligible Races: Perpetual Motion, Dalmatian Run Fest & Texas Endurance Runs
Here's a RunSignup tutorial on how to transfer a bib.
Cancellations:
Policy: WRATH Racing will seek alternatives to cancellation whenever possible, especially where the race benefits a charity. Possible alternatives include changing venues, postponements and/or virtual events. WRATH Racing will weigh these alternatives on a case-by-case basis.
Deferrals:
Policy: WRATH Racing allows registered runners to defer their registration for most of our in-person events that are 13.1 mile or longer, for a $10 fee. Deferrals can be done until the t-shirt deadline, generally 2 weeks prior to the race. Runners who live more than 350 miles from the race may defer up to 48 hour prior to the event, but will need to request a deferral via email. If the runner purchased an add-on (such as table/chair rental at Perpetual Motion) that add-on is assumed to defer with the registration.
Eligible Events: Dalmatian Run Fest Half Marathons, 3-Quarter Marathons, full Marathons, Ultra Marathon; Texas Endurance Runs 24-Hour and 48-Hour, Perpetual Motion 6-Hour, 12-Hour and 24-Hour.
Here's a RunSignup tutorial on how to defer a race.
Drop Down / Upgrade:
Policy: For some races, WRATH Racing may allow runners to drop down or upgrade during the event.
· Drop down: Change to a shorter distance event
· Upgrade: Change to a longer distance event
There is no charge for a drop-down; the charge for an upgrade is the price difference at the time of original registration. Runners who drop down in distance once the race has started will not be eligible for awards in their new event.
Runners should let the RD and/or Timer know in accordance with the policy on the race's website. Mid-race upgrades should be paid mid-race unless the RD agrees otherwise.
Eligible Races: Dalmatian Run Fest
Early Starts:
Policy: Early Starts cause extra work for the Timer and Race Directors, may involve additional expense for the race, and are confusing to the volunteers. But WRATH Racing recognizes that there may be extenuating circumstances where an early start is warranted. Accordingly, we have formulated the policy below.
Eligible Races: Dalmatian Run Fest
-
An Early Start is an exception given at the Race Directors' discretion, in response to a specific set of circumstances and/or a specific request from a runner for a compelling reason. A medical issue may be a compelling reason. Work or travel seldom are.
-
The Race Directors will consider a lot of factors besides the runner's request when deciding whether to give an Early Start.
-
An Early Start is a favor and an exception. No one is entitled to an Early Start.
-
Early Starts must be requested each year; runners that had an Early Start in a prior year cannot assume they will have one again, as other factors may have changed.
-
As a general rule, Early Starts should be requested from the Race Directors at least 48 hours prior to the event to allow time for coordinating with the Timer and volunteers.
-
The earliest official start time is determined carefully. This means it's highly unlikely that any runner will be given a start time that is earlier than the earliest official start time.
-
All Early Starters must have specific permission from the Race Directors. Just because a runner has permission to start early does not mean that their companions have that same permission.
-
All Early Starters should receive an Early Start sticker from the Race Directors for their bib. This makes it easier for the Timer and volunteers.
-
Early Starters are not eligible for awards; this is per USATF policy.
-
All Early Starters should acknowledge receipt of this Early Start policy.
Event Changes:
Policy: WRATH Racing allows runners to transfer to another event in the same race. If the event is the same distance (ie Rescue Rover Half to Puppy Power Half or Hula Loop #2 to Hula Loop #3) then there is no charge. If the event is a different distance/duration (ie Perpetual Motion 6-Hour to Perpetual Motion 12-Hour) then the runner will be charged the price difference at the time of original registration. There are no refunds if the new event is less expensive.
If the change is made prior to the t-shirt deadline, the runner gets the swag from their new race. If the change is made after the t-shirt deadline, the runner will get the swag from their original race.
*Event changes are always at the discretion of the Race Director.* Please email Kay.WrathRacing@yahoo.com at least 48 hour prior to the event to request an event change.
Inclusion:
WRATH Racing strives for a safe and non-discriminatory environment. As we have grown, we have added (and will continue to add) Adaptive/AWD divisions, non-binary registration and other inclusive policies where it makes sense. Intolerant actions (including hate-speech) towards participants, spectators, volunteers, pacers, etc will not be tolerated. Please see "Withdrawal of Service and/or Denial of Service" policy (defined below.)
Pacers:
Policy: WRATH Racing events are sanctioned by USATF, who does not allow pacing for competitive events. However, we recognize that not everyone does our events to be competitive. so we have a pacer policy. The rules for pacers include (but are not limited to):
-
All pacers must register online to sign the pacer waiver. Pacer waivers are only available online.
-
All pacers must check in with the race before starting, We need to know who is on the course.
-
Only one pacer per runner may be on the course at any given time
-
When on the course, pacers should wear their Pacer Bibs. High-vis 'Guide' vests are also acceptable.
-
Transitioning from 1 pacer to another should take place outside of the flow of traffic. (ie: not at the start/finish line, not on the inside of a curve etc)
-
Runners are responsible for the behavior of their pacers at all times, whether the pacers are on the course, waiting to pace, or have finished their pacer duties.
-
Pacers can use race-provided water and sports-drinks from jugs, but should otherwise provide their own nutrition. All food and any individually bottled or canned beverages at the Aid Stations are for registered runners only. (Exception: Perpetual Motion pacer fee includes Aid Station access)
Applicable races and situations:
Dizzy Dalmatian 101: Runners may have pacers after 5PM on Saturday, after 5PM on Sunday, and all day on Monday. Runners that have pacers will not be eligible for daily awards, but will be eligible for the Best In Show award.
Perpetual Motion 24-Hour: 24-hour runners may have pacers after the 12-hour mark. See our blog post! See the race document for more details.
Adaptive Athletes and AWD Participants: Pushers, Guard Runners, Guides and other persons who provide on-course assistance, and are not also registered runners, will fall under this pacer policy.
Postponements:
Policy: If WRATH Racing is forced to postpone a race, we will offer several alternatives to the new date, such as Deferrals, Virtual events, Ship My Swag, Registration Fee Donations, Discount Codes, etc. All fees for the alternatives will be waived for 2 weeks after the new date is announced. After 2 weeks, standard policies and fees are assumed to be in force.
Race Credit:
Policy: WRATH Racing does not issue credit (good for a race at the same or different WRATH Racing event) for races that a runner does not or cannot run, regardless of the reason. Runners agree to this policy as part of the WRATH Racing Participant Waiver.
Refunds:
Policy: WRATH Racing does not offer refunds for races that a runner does not or cannot run, regardless of the reason. Runners agree to this refund policy as part of the WRATH Racing Participant Waiver.
Virtual Races:
Policy: To give all parties more flexibility in the event of a schedule change, WRATH Racing will offer Virtual event options. The window for Virtual events will typically begin 1 week prior to the in-person event and close 1 week after. Event changes to the equivalent Virtual event can be done at any time, up to the start of your race (just let the RD or Timer know.) Entries to Virtual events cannot be deferred or transferred.
Eligible Races: Dalmatian Run Fest (Half, Full, Ultra & Triple), Texas Endurance Runs & Perpetual Motion.
Withdrawal of Service and/or Denial of Service:
Policy: WRATH Racing reserves the right to refuse any registration at any time for any reason, including after the start of the event. If a runner and/or their supporter(s) is requested to leave the race/race venue, WRATH Racing will provide the runner with an incident report within 10 business days of the end of the race. If the runner themselves is asked to leave, WRATH Racing will also issue a full refund, including taxes and fees, within 10 business days, which nullifies our contract. Runners agree to this policy as part of the WRATH Racing Participant Waiver.
